Geosyntec has an exciting opportunity for an experienced Regional Project Administrator to support our Western North America operations. The position can be based in one of our western or central region offices, including Oakland, Los Angeles, Costa Mesa, or San Diego, CA; Lakewood or Greenwood Village, CO; Chicago or Oak Brook, IL; Seattle or Bainbridge Island, WA; or other office locations within the central or western regions. In this role, you will partner with the Regional Financial Manager (RFM) to oversee and organize all activities for both primary and satellite offices. The Regional Project Administrator ensures that PA processes align with company standards, offers suggestions for improving these processes, and helps resolve challenges. You'll advise Project Managers and Project Administrators (PAs) on financial aspects of projects, such as contracts, profitability, change management, and best practices. Additionally, you'll supervise and support daily tasks performed by PA staff, ensuring compliance with corporate finance and accounting practices and procedures. The ideal candidate can prioritize multiple requests, adapt to shifting workloads, and demonstrate outstanding organizational skills.

Essential Duties and Responsibilities

    Oversee project initiation, billing and collection functions in a regional operations ensuring timeliness and accuracy; Ensure PA staff meet monthly billing objectives and timelines.
  • Directly or indirectly manage PAs in the designated Region. Mentor staff on compliance with policies and procedures, monitor compliance with the same, and correct performance deficiencies; Review performance and compensation of subordinate staff on a timely basis; obtain prompt approval of compensation increases for subordinate staff.
  • Maintain contact with clients' business offices to confirm timely receipt of invoices and supporting documentation and work to resolve issues to ensure payment of invoices on a timely basis.
  • Ensure established systems are maintained by project managers to update status, budgets, earned value analysis and other project related data on a regular basis.
  • Develop and/or assist with training for professional staff, PMs and PAs on Corporate accounting and project management policies and procedures.
  • Collaborate with regional leadership, project managers, and the Regional Finance Manager on key financial matters-such as cost accruals for lump sum projects, work in progress (WIP), challenging accounts receivable, and revenue recognition-to ensure compliance with established regional standards.
  • Comply with the requirements of the company's risk management program, remain alert to potential loss situations and bring to Regional Finance Manager's attention.
  • Supervise revenue review process for the region, working with PAs to identify variances, cost accruals and/or potential revenue sources (e.g. cash receipts, earned value).
  • Generate reports to aid in tracking and analyzing financial data for the Regional Finance Manager, Operations, and department managers, including but not limited to profitability, productivity, accounts receivable, backlog, etc.
  • Prepare project, financial, cost analysis or additional management reports as requested.
  • Assist Regional Finance Manager with analysis of monthly financial reports focusing on revenues and expenses versus budgeted forecasts; identify large variances and perform research to determine cause and potential correction, if necessary; report to the Branch Manager and Regional Finance Manager any issues of variations from standards or expectations.
  • Work with the Regional Finance Manager to develop the yearly budget for the Region for approval by regional leadership.
  • Review monthly financials for accuracy related to accruals, allocations, revenue and expenses. Assist the Regional Finance Manager where needed to ensure accurate financial reporting.
  • Travel occasionally for regional meetings.
  • Drive personal, company, and rental vehicles to client or company project or office sites, and other business locations, as needed.


Education and Licensure

  • Bachelor's degree in accounting or finance. (preferred)


Skills, Experience and Qualifications

  • A minimum of ten (10) years of progressively responsible experience coordinating and administering the invoicing process for a professional services firm, preferably in an engineering firm environment or a bachelor's degree in accounting or finance and seven (7) years of experience. (required)
  • A bachelor's degree from an accredited college with a major in accounting or finance is preferred; however, significant related experience may be considered.
  • Knowledge of job costing, DCAA compliance procedures and contract file administration; and comprehension of project revenue and cost calculation.
  • Comprehensive knowledge and experience using enterprise resource planning (ERP) and project management software. (required)
  • Intermediate knowledge of data entry techniques, use of spreadsheets to build formulae, link files, etc. (required)
  • Experience in leading teams and fostering strong relationships with both internal and external clients. (required)
  • Demonstrated proficiency in presenting information clearly and effectively in both individual and group settings. (required)
  • Valid U.S. driver's license and a satisfactory driving record for business travel. (required)
  • Candidates must currently hold and maintain valid U.S. work authorization. New H-1B visa lottery and employment based green card sponsorship are not available for this position.

This opportunity will be posted for at least five days. Below are the potential compensation ranges that we in good faith believe are applicable for this role at the time of this posting and are only applicable for jobs to be performed in the specified location(s) below. The typical base salary range for this position is just one component of Geosyntec's total compensation package for employees. Actual compensation will be determined based on education, experience, skill set and location.

  • Minimum Salary: $91,475/year / Maximum Salary: $146,360/year (Costa Mesa, CA, San Diego, CA, Seattle, WA, Bainbridge, WA, San Diego, CA)
  • Minimum Salary: $87,310/year / Maximum Salary: $139,695 /year (Lakewood, CO, Greenwood Village, CO, Chicago, IL, Oak Brook, IL)
  • Minimum Salary: $95,630/year / Maximum Salary: $153,010/year (Oakland, CA, Los Angeles, CA)
