Position Responsibilities

The Recruiting Coordinator manages candidate and executive travel for North America and EMEA, ensuring timely, policy-compliant arrangements. This role supports recruiting operations, maintains audit-ready records, and serves as a key liaison to ensure a smooth candidate experience. A customer-focused mindset and commitment to process improvement are essential in this global, fast-paced environment. This role is required to be in office 1-3 days per week at Deltek Headquarters, in Herndon, VA.

Key Responsibilities:

  • Arrange travel logistics for candidates attending interviews or executive meetings, including booking flights, accommodations, and ground transportation.
  • Provide in-person meeting support in Herndon, VA to candidates during interview sessions.
  • Maintain and update travel itineraries for candidates and team members, communicating changes or confirmations promptly.
  • Liaise with external vendors to secure cost-effective and compliant travel arrangements.
  • Monitor and reconcile candidate travel expenses, ensuring accurate documentation for reimbursement and audit purposes.
  • Manage and support the candidate travel expense reimbursement process.
  • Lead initiatives to improve and globalize travel processes and procedures, maintaining a customer-focused approach.

Qualifications

Required Qualifications:

  • Proficiency with Microsoft Office Suite, office productivity tools and recordkeeping systems.
  • Experience with supporting process improvement initiatives.
  • Excellent proven organizational and time management skills.
  • Excellent communication skills, both written and verbal.
  • Attention to detail and accuracy in documentation and reporting.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Ability to work collaboratively with cross-functional teams.

Preferred Qualifications:
  • Experience with global travel coordination and vendor management.
  • Familiarity with background check processes and compliance requirements.
  • Experience with Project Management
  • Experience with Smartsheet.

Compensation Information

The U.S. salary range for this position is $46500.00 - $81250.00. This range is subject to change as Deltek takes a number of factors into consideration when determining individual base pay, such as location, job-related knowledge, skills and experience. Certain roles are eligible for additional rewards, including incentive compensation and equity.
