Job Summary

The Financial Analyst 1 provides essential support to the Finance unit at the Chaplin School of Hospitality and Tourism Management (CSHTM), contributing to the efficient and compliant execution of daily financial operations. This role is responsible for processing credit card authorizations and transactions, reconciling accounts, managing reimbursements and invoices, and supporting the submission of Travel Authorizations (TA) and Expense Reports (ER). Additional duties include preparing payroll transfers, assisting with monthly financial close activities, producing financial reports and documentation, and analyzing data to support informed decision-making. The Financial Analyst 1 will work closely with the Director of Finance and the Accountant, playing an active role in both operational tasks and broader financial planning and reporting efforts within a hospitality-focused academic environment.

  • Assists with creating and maintaining spreadsheets (e.g., transaction logs, payment trackers, reconciliation templates) to track expenses, cash flow, and financial KPIs.
  • Performs data entry and other office functions including monitoring invoices, following up for payments, maintaining records, logs, and files.
  • Contacts hotels to request credit card authorizations and obtain folios post-stay for accurate record keeping.
  • Reconciles credit card statements, identify discrepancies, and flag issues for resolution.
  • Compiles reimbursements packages for the Direct Supported Organization (DSO), ensuring all receipts and documentation are accurately entered and stored in the system. Requests reimbursement from FIU Foundation on a timely manner.
  • Assists in the preparation of the annual budget package.
  • Prepares and supports creating TA and ER forms for faculty/administrators, ensuring compliance and completeness.
  • Performs budgetary transactions for CSHTM, including the generation of Smart Bills, Journals IDs and budget amendments.
  • Serves as the vendors, faculty, staff, administration primary contact or technical contact; Handles sensitive cardholder information and/or processes credit cards transactions for the department/unit; Will have access to a third party system (software, gateway, etc.) that processes, transmits, and/or stores cardholder information.
  • Manages under the direction of the units Finance Director, the submission of requisitions, purchase orders, and receipts of goods and services. Ensures that all vendors are paid diligently and maintain accurate financial records.


Desired Qualifications
  • Experience in Microsoft Suite.
  • Experience in bookkeeping, budgeting, or Accounting Principles.
  • Experience preparing and managing travel arrangements.
  • Experience reconciling financial transactions.
  • Proven ability to create, maintain, and update detailed procedural documentation for financial processes and internal controls.
  • Experience using dedicated travel and expense management systems (e.g., PeopleSoft) for processing and auditing TAs and ERs.
