DETAILED JOB DESCRIPTION Provide administrative support, most often involving highly confidential and/or sensitive materials and situations. Staff various meetings, create summary reports and prepare for distribution. Greet visitors, receive and respond to incoming calls in a courteous and authoritative manner; determine needs, redirect to others as appropriate; manage calendar and schedule appointments, determine executive's availability for discussions, and follow up to ensure timely response. Prepare correspondence, reports and other materials from rough draft or dictation. Compose letters involving routine matters, acknowledgements and other subjects. Assist in preparing the executive for meetings. Anticipate information needs such as including itineraries, supporting documents and materials; arrange information folders. Brief executive prior to meetings. May act as liaison between the office and others, making arrangements, preparing materials, overseeing project budget, and posting information to website. Assist in budget preparations; compile information, analyze past activities and project future needs. May complete unit/department specific duties and expectations as outlined in department documents. REQUIRED QUALIFICATIONS Bachelor's degree or an equivalent combination of education and experience from which comparable knowledge, skills and abilities can be acquired. PREFERRED QUALIFICATIONS Additional license/certification requirements as determined by the hiring department.
