Position Summary:
The Advocating Success for Kids Program at Boston Children's Hospital works with children who are having learning, developmental, emotional, or behavioral problems at school or at home. Our multidisciplinary team offers evaluation of developmental, learning, and/or behavioral difficulties, referral for services, and advocacy. We serve the Children's Hospital Primary Care Center and Martha Eliot Health Center.

The Patient Administrative Coordinator will work with a multidisciplinary team to provide administrative support to a busy clinic.

Key Responsibilities:
  • Manage and track patient referrals in collaboration with the program manager, as well as ensure communication and loop closure with the referring provider. Schedule appointments, make reminder phone calls, and ensure that patients remain up to date in care.
  • Support the team through administrative functions such as preparing paperwork for authorizations, collecting records from schools, and acting as the liaison between the clinic and community agencies.
  • Answer, screen and route a high volume of phone and email inquiries from patients and families and external companies in coordination of clinical services. Record and forward messages and triage calls to nurses, physicians and numerous other providers for urgent information or services. Initiate calls for emergency services as required.
  • Respond to patient's concerns and needs within scope of knowledge and authority and in accordance with our best practices and procedures. Respond to situations requiring escalated service response, ensuring the appropriate providers and parties are made aware of concerns and follow up to ensure resolution.
  • Reserve meeting locations, order supplies and equipment, and prepare meeting agenda and other materials.
  • Perform routine clerical duties, such as opening and sorting mail, delivering and retrieving patient records, photocopying materials, and sorting, collating, and distributing documents.
  • Actively participate in and contribute to departmental and organizational initiatives and projects with a focus on continuous process improvement.
  • Recommend and assist in implementing change in internal systems and procedures.
Minimum Qualifications
Education:
  • High School Diploma/GED required.
  • Some college or occupationally specific education/training preferred.

Experience:
  • 1 year of relevant experience.
  • Bilingual in Spanish preferred.
  • Prior experience with prior authorizations preferred.
