POSITION SPECIFICS

The Office of the Vice Provost of Graduate Education and Dean of the Fox Graduate School (OVPD) is seeking a motivated and enthusiastic professional to serve as a Receptionist (Administrative Assistant - Intermediate Support), providing support to the Dean's office.This position serves as the first point of contact in the Dean's office, the hub for many graduate activities within the department.

Responsibilities: The successful candidate will have the following responsibilities:

  • Welcome and direct visitors
  • Answer phones and general email (ECRM) and direct inquiries to appropriate individuals
  • Order and maintain office supplies
  • Provide support for meeting logistics, including but not limited to scheduling conference rooms, ordering catering, sending meeting invitations, etc.
  • Assist with reconciliation of expenses using SAP/Concur.
  • Create, update and maintain office files.
  • Work closely with Events Coordinator and assist with Fox Graduate School events.
  • Attend and work at several Fox Graduate School events including Commencements, Exhibition, Welcome events, and more. Some working hours for events may be outside the normal core hours of 8am - 5pm.
  • Other duties as assigned

Skills and Experience: The successful candidate should have:

  • Proficiency with Microsoft Office or comparable software suite.
  • Excellent interpersonal, organizational, and written and oral communication skills.
  • Flexibility in handling and prioritizing multiple tasks.
  • Self-motivation with the ability to work independently, and a strong commitment to teamwork and inclusiveness.

Work Arrangement: This position is an in-office position in the Fox Graduate School Dean's office with core hours being from 8am to 5pm Monday through Friday.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

BACKGROUND CHECKS/CLEARANCES

Employment with the University will require successful completion of background check(s) in accordance with University policies. Penn State does not sponsor or take over sponsorship of a staff employment Visa. Applicants must be authorized to work in the U.S.

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $38,300.00 - $55,500.00.
