Job Description

Position Summary

The Office Support Assistant IV plays a vital role in supporting the mission of the University-education, research, and clinical care-by providing essential administrative, logistical, and clerical support. This position ensures smooth daily operations in a busy medical office environment through strong organizational skills, attention to detail, and effective communication. Serving as a vital link between faculty, the School of Medicine, and healthcare partners, this role contributes to a positive and efficient workplace while upholding the highest standards of professionalism and service.

Primary Responsibilities

* Manage daily communications, including mail, phone calls, voicemail, faxes, and correspondence.
* Coordinate and distribute OPPE/FPPE documentation.
* Enter and maintain data in MBM systems.
* Collect signatures through Adobe and ensure proper documentation flow.
* Handle procurement tasks, including Show Me Shop orders, supplies, memberships, and conference expenses.
* Maintain faculty and conference calendars, distribute clinical schedules, and post call schedules.
* Send reminder emails for mandatory training modules, delinquent documentation, missing charges, flu shots, BLS, and other annual recertifications.
* Add and maintain documents in HR files, ensuring access is updated appropriately.
* Prepare and update digital content, including television slide shows.
* Submit work orders, receipts, and ProCard orders for fiscal processing.
* Maintain cleanliness and organization in the office setting.
* Support Medical Director with logs and record-keeping.
* Track meeting attendance (e.g., didactics) and report to CME office.
* Manage TigerConnect call schedules.
* Provide a welcoming presence by greeting and assisting all visitors and staff.
* Monitor and document provider time-off or leave requests.
* Other duties as assigned

Qualifications

* Strong organizational and communication skills.
* Ability to manage multiple priorities with attention to detail.
* Proficiency with Microsoft Office Suite and other administrative software.
* Experience in a medical or higher education setting preferred.
* Professional, courteous, and adaptable in a fast-paced environment.

Shift

Monday-Friday, 8:00 AM to 5:00 PM

Minimum Qualifications

High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary.

Anticipated Hiring Range

Salary Range: $14.80 - $20.32
Grade: GGS-006
