The Facilities Project Coordinator is responsible for multiple accounts that include local, regional and national chain locations, local restaurants, medical facilities, hotels, other entities and call-in customers. This is a fast-paced environment requiring a rapid response to the customer's needs. The PC interfaces directly with the customer, determining the specific needs and sourcing vendor quotes for equipment, installation, project management etc and building the proposal and submitng back to the customer and following the order to completion. Excellent customer service and relationship building is paramount.




  • Manages multiple accounts and/or specific territory for national accounts, developing relationships with Owners, General Contractors, General Managers, Executive Kitchen Managers and Regional Facilities Managers
  • Works directly with the customer through in person meetings, phone calls, customer portals or email to determine information for customer requests for quote
  • Sources quotes from vendors for parts, equipment, installs, freight, project management, start up etc , including negotiating pricing with vendors and obtaining completive bids
  • Obtains drawings from archives or customer for custom work and obtains quote
  • Builds customer quote from ground up in Auto Quotes or TriMark ERP system and either uploads through the portal or sends to customer via email
  • Follows up with customer on status of proposal, when approved releases it to purchasing
  • Reviews shop drawings for custom work and confirms with customer prior to approval
  • Follows order, keeping customer informed of ship dates and delivery, install and start-up, etc.
  • Schedules installs, start-ups and coordinates TriMark project management
  • Maintains Smart Sheet for internal department use, also maintains customer shared Smart Sheet with up-to-date information
  • Manages customer A/R with accounting team to keep all accounts current


Competencies:



  • Strong customer communication skills are essential, including face to face, phone and email communication conducted in a professional manner with accurate and concise information
  • Ability to work independently and as a part of a team on an account and in the department
  • Provide excellent customer service and work at building relationships
  • Ability to pivot and work on multiple projects at one time


Qualifications and Experience:



  • Prior buying and quoting experience
  • Prior customer service experience
  • Knowledge of custom fabrication, ability to read drawings & floorplans
  • Experience in food service is preferred

The range provided represents the national average pay range for this position and is considered to be a general guideline. Pay for this position will reflect the candidate's unique qualifications and may be higher or lower than the range provided based on employee geographic location. Additional factors considered in extending an offer include (but are not limited to) responsibilities of the job, education, experience, knowledge, skills, and abilities, as well as internal equity, alignment with market data, applicable bargaining agreement (if any), or other local, state, and federal law.


In addition to base salary, this role will be eligible for participation in TriMark's' benefits programs, including medical, dental, vision, 401K (with employer match), etc. Leadership positions may also qualify for participation in bonus programs commensurate with role and scope of responsibility.
