Administrative & Workflow Specialist BB&E is a full service civil and environmental engineering and consulting firm, headquartered in Northville, Michigan, which services both the Federal and Industrial sectors throughout the United States. BB&E team members provide Environmental Consulting, Facilities Engineering and Program/Project Management Services to Federal and private sectors. Position Summary BB&E is currently looking for an Administrative & Workflow Specialist to support the AFCEC/CF and Directorate Admin onsite at JBSA-Lackland, TX. Job Duties & Responsibilities * Provides support to HR processes and procedures in national office locations in the continental US; provides support to Division Chief and Directorate Admin (and acts as Backup for Directorate Admin) in actions to include retirements, promotions, deployments, and PCS * Provides support to the management of IDIQ contracts * Monitors proposal trends for evaluation at Division level * Ensures administrative compliance with Directorate and Division processes and procedures * Compiles, consolidates, and organizes documents, presentation materials, and other information; prepares for Division Chief and Directorate Admin review * Provides meeting support including communications and audio/visual equipment assistance for Division Chief or Col/GS-15 visitors from stakeholder organizations and Directorate Admin * Acts as Division Lead for TMT and Workflow; tracks assignments for timely completion of work assignments through TMT and Workflow; reports completion status to AFCEC/CF and Directorate Admin * Manages distribution lists and mailing lists for Division and Branches * Manages SharePoint access and updates Division SharePoint sites * Provides training, lessons learned, and best practices to assigned technical and management staff * Ensures budgetary processes and procedures are in compliance with Directorate and Division processes and procedures * Prepares travel for Key CF Staff in the DTS program to review/book airfare, hotels, and rental cars * Assists civilians in ATAAPS to ensure payroll and timekeeping compliance * Maintains Division recall and accountability rosters * Maintains Division Chief's calendar and shared Division calendars * Provides records management support, acting as Records Custodian and follows AFRIMS records file plan * Provides strong written/verbal communications support; utilizes software including Microsoft Office Suite Requirements Key Qualifications* U.S. Citizenship and the ability to obtain/maintain Secret Security Clearance is required * Software: Experience with Task Management Tool (TMT) is required; proficiency with MS Office Suite, Adobe, SharePoint, and Outlook is required * Knowledge: Prior military service or detailed working-level knowledge of the Air Force structure is preferred * Strong Communication Skills: Excellent verbal and written communication skills * Organizational Skills: Must have a high degree of organization when performing tasks * Self-Starter: Highly motivated, with the ability to communicate with installation points of contact on a routine basis Experience & Education* Experience: Minimum of 2 years of related experience is required * Education: Minimum of a High School Diploma or its equivalent is required Physical Requirements* Ability to stand/walk/climb/kneel/crouch and remain in a stationary position/sit at least 60% of the time * Ability to operate office equipment, including computer, copy machine, phone, etc. * Ability to use hands to finger, handle or feel objects or controls; reach with hands and arms * Capable of lifting up to 25 lbs. * Ability to see details of objects that are less than a few feet away * Ability to understand the speech of another person, speak clearly so listeners can understand, and talk or hear both in person and by telephone Benefits Compensation, Benefits & Perks* Competitive compensation packages (states not required to list range) or salary range - $minimum - $mid-point (only in states required) * Participation in the Employee Stock Ownership Plan - BB&E is 100% employee-owned! * Discretionary bonus * *Medical, Dental, and Vision Insurance with health care concierge * *Employer provided Short-Term & Long-Term disability * *Employer provided Life insurance * *Employee options for supplemental life, supplemental accident, critical illness, hospital indemnity, and Identity theft protection benefits * *Generous PTO plus 11 paid holidays * Traditional & Roth 401(k) options with fully vested employer match * Tuition reimbursement & professional development * Employee referral program * Employee discounts * Employee Assistance Program (EAP) * Pet insurance discount *Applies only to full-time employees *BB&E is an Equal Opportunity Employer and an Affirmative Action Employer.
