Vaco Staffing is looking for a Executive Assistant for a large corporate office in Jacksonville. This is an in office role and will pay $55-65k+ depending on experience. .

Position Summary:
We are seeking a highly professional, flexible, and people-oriented Executive Administrative Assistant to provide critical support to the CEO, CRO, CAO, and other members of our leadership team. This individual will play a vital role in ensuring the smooth flow of operations in the corporate office, assisting with executive-level tasks while also supporting the Sales team and other departments as needed.

The ideal candidate thrives in a fast-paced environment, is comfortable wearing many hats, and demonstrates excellent interpersonal, organizational, and technical skills.

Key Responsibilities:

  • Provide direct administrative support to CEO, CRO, CAO, and other executives.

  • Manage executive calendars, schedule meetings, and coordinate travel arrangements.

  • Prepare and edit correspondence, reports, and presentations (including PowerPoint).

  • Oversee inbox and email management for executives.

  • Organize and execute internal and external events, including logistics and communications.

  • Attend executive meetings, take accurate minutes, and track action items.

  • Serve as project manager for special initiatives across multiple departments.

  • Assist Sales team and other corporate office staff with administrative tasks as needed.

  • Maintain confidentiality and discretion at all times.

Qualifications & Skills:

  • Exceptional people skills with the ability to build relationships across all levels of the organization.

  • Strong proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel).

  • ServiceNow experience a plus (not required).

  • Excellent organizational skills and ability to prioritize multiple tasks and deadlines.

  • Strong written and verbal communication skills.

  • Detail-oriented with a proactive and problem-solving mindset.

  • Previous experience supporting executive-level leadership required.

  • Event planning and project management experience highly valued.



Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
