General Description of the Job Class

To support the Biochemical Genetics Laboratory group of professionals, regularly required to support and resolve moderately complex (routine and non-routine) administrative problems independently or with guidance from others. Tasks are typically diverse and advanced.


Duties and Responsibilities

The duties of the Administrative Assistant include support for clients, staff, and clinical lab leadership by many means, including processing daily requests and facilitating the laboratory workflows through administrative and other tasks.




  • General duties

    • Act as a liaison between the laboratory and external groups
    • Answering phone requests from client providers, clinical labs, and regulatory entities related to testing and reporting.
    • Explain policy/procedures to other parties based on department guidelines.
    • Order lab supplies through SAP system; documentation of orders, fulfillment delays, and goods receipt.
    • Track PTO requests from the staff on an Outlook calendar
    • Maintain lab leaderships' daily calendars, arrange travel, and coordinate external visitors to the lab.
    • Coordinate special projects including assisting with Lab Week, staff celebrations, and holiday festivities.
    • Organizing the pickup/disposal of surplus equipment and laboratory waste.




  • Specific lab related duties:




    • Scanning test requisition forms and data entry checks
    • Resolve issues regarding Duke specimens and report as needed in the SRS system.
    • Contact external clients regarding discrepancies with test requisitions and specimen labels, merging patient charts, addressing billing questions, and performing new client builds.
    • Reviewing patient reports for accuracy and resolve issues.
    • Confirming reports are faxed successfully and manually emailing/faxing reports where necessary.
    • Tracking errors and discrepancies in Beaker.
    • Maintenance of patient records through digitization of documents in storage archives.
    • Revenue and Usage (Charge capture reconciliation)
    • All Monthly reports (e.g. samples collected but not received, daily batch list report, etc.)
    • Collect data as directed by the Lab Manager and directors to complete quarterly reports, laboratory compliance, or any other projects
    • Familiarity with the Epic/Beaker system is desirable.





Minimum Qualifications
Education

High school education or equivalent.



Experience

Two years of administrative support experience of increasing variety and/or complexity
