The Opportunity

The College of Arts & Sciences at Embry-Riddle Aeronautical University - Worldwide, located in Daytona Beach, FL, is seeking an experienced and highly organized administrative professional for the position of Administrative Assistant to the Dean. Reporting directly to the Dean, this position plays a critical role in supporting the College's executive administrative functions, including meeting and conference coordination, strategic initiative support, project scheduling and planning, communications, and stakeholder relations. The role also involves providing clerical support to the Dean and ensuring effective communication with both internal and external College and University constituents. Under the Dean's guidance, this position as well supports Department Chairs and serves as a backup for other administrative staff within the College. This is the senior administrative position within the College.

Responsibilities

  • Support the Dean's strategic priorities and flagship projects, including the operational execution of related initiatives.
  • Provide assistance for strategic, College-wide initiatives and their implementation.
  • Manage the Dean's calendar, plan and coordinate meetings, and organize College-level conferences and events.
  • Serve as a primary communication link between the Dean's Office and internal/external stakeholders, ensuring timely responses and accurate information dissemination.
  • Provide clerical and administrative support to facilitate College operations.
  • Assist with planning, scheduling, and tracking projects to ensure deadlines and objectives are met.
  • Occasionally work outside of established business hours and/or travel to support College and regional campus meetings and events.

Qualifications

Required Qualifications

  • Associate's degree or completion of a post-secondary program lasting 18 months or longer.
  • One to three years of administrative experience, preferably in an education-related environment.

Required Knowledge, Skills, and Abilities

  • Strong analytical skills and working knowledge of information systems.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, as well as Microsoft Teams, Zoom, and social media platforms.
  • Experience in managing complex projects.
  • Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Strong writing, editing, and communication skills, with the ability to interact effectively with a diverse community.
  • Ability to work independently, reliably, and proactively, as well as collaboratively in team settings.
  • Capability to operate effectively in both face-to-face and virtual environments.
