Position: Administrative Assistant Resource and Quality Assurance

Department: Mission Services

Reports to:Director of Resource and Quality Assurance

Status: Non-Exempt

Summary

To provide administrative support to the Mission Services division to ensure that internal and external customer compliance and satisfaction measures are met. To receive, process, and counsel referrals.

Duties and Responsibilities



  • Knowledge of Efforts to Outcomes (ETO) software from ground level. Trains/assists employees in entering client service records. Enters/updates client demographics and employment records into ETO as needed. Runs ETO reports (case notes) for monthly billing.
  • Develops/maintains spreadsheets to track data for monthly billing. Maintains and submits monthly funder's reports; tracks referrals, intake, assessment, job development, job retentions, etc. Requests and tracks authorizations from funders.
  • Reviews, and responds to Goodwill's aged receivable report. Contacts aged funders to clear outstanding balances and receive payments. Works with other members of the Resource and Quality Assurance team to complete quarterly file and compliance audits.
  • Develops working knowledge of Mission Services policy and procedures. Maintains client files. Provides program staff with client intake paperwork packets, tracks job retention on spreadsheets, and provides retention forms to staff at appropriate intervals to track retention. Prepares and sends quality enhancement surveys on a quarterly basis.
  • Collects and records client payroll information and reports directly to payroll department.
  • Maintains supply of all agency forms including brochures, letterheads, envelopes, business cards, lunchroom supplies, inventories, and orders office supplies using the company purchase order system. Maintains petty cash and postage as necessary.
  • Receives and screens referrals to confirm the candidacy and assignability. Provides initial counseling session regarding program benefits, and begins to complete and assess the plan during counseling session, if applicable.
  • Works with program managers and staff to complete screenings, work plans, and applications with all necessary signatures while adhering to required timelines.
  • Assists Director of Resource and Quality Assurance, Services Directors, and program staff as needed.
  • Promotes an environment of workplace safety by training and informing others regarding safety standards/precautions. Monitors safety and takes corrective action. Ensures that regulatory safety requirements are adhered to.
  • Communicates progress, problems, and concerns to the Director of Resource and Quality Assurance and Services Director.


Qualifications

Education and Experience



  • Associate's degree in Human Services, Business, or related field with two (2) years' experience; or High School diploma or GED equivalent and four (4) years' relevant experience which enables the individual to meet the standards and expectations of the position.


Skills/Abilities/Qualifications



  • Working knowledge of databases and Microsoft software applications.
  • Excellent written and verbal communication skills.
  • Present a neat and professional appearance.
  • Ability to work maturely with confidential information.
  • Ability to work flexible schedule as necessary.
  • Must complete and successfully pass Criminal Record check, Child Abuse Clearance, and FBI Clearance.
