Overview Job Summary
Provide professional, executive-level administrative support for an Institute executive, typically at the Associate Vice President organizational level. Provide office-related services required by the executive, including coordination of correspondence, report preparation, meeting and event arrangements, file/records maintenance, and fostering positive relationships with key external stakeholders, executives, and staff within other campus units. This position will interact consistently with callers and visitors to the executive's office, counterparts in other offices, unit management, and staff. This position typically will advise and counsel: May supervise lower-level administrative staff. Job Summary

Coordinate travel arrangements for the Executive, including visitors. Event arrangements. Draft presentations and meeting minutes. Gathering information on journals/publications. Coordinate the Executive calendar. Prioritize appointments and other requests for meetings/visits with the Executive/ and leadership. Schedule new candidates for interviews. Reserve meeting space. Plan, organize, and lead visits. Monitor and oversee purchasing activity. Proficiency in Workday and Travel. Streamlined workflow using AI tools, ChatGPT, and co-polit.
