Position Overview

The Service Operations Specialist I serves as the primary point of contact for internal and external customers seeking support or information regarding installed and available laboratory equipment. This role provides mentorship and technical guidance to the LAS Operation Asset team, supports onboarding and training of new team members, and contributes to strategic projects aimed at improving operational efficiency. This position is responsible for verifying the data accuracy of equipment records in the Computerized Maintenance Management System (CMMS). Additionally, this role oversees the tracking and administration of unused lab equipment, including coordination for resale or redeployment. This position plays a key role in ensuring smooth service operations and high-quality customer support.

Essential Duties

Include, but are not limited to, the following:

  • Consult and collaborate cross-departmentally to help identify the expected support needed for the business units we support.
  • Oversee execution of annual internal CMMS inspection.
  • Work with internal resources to develop user procedures, guidelines, and documentation.
  • Assist in development and training of internal customers in internal processes.
  • Ensure validity and data integrity of CMMS to identify gaps within the system.
  • Works closely with Service Operations leadership to identify process improvements. Interprets internal and external business challenges and recommends best practices to improve solutions, processes, and services.
  • Maintain performance and productivity metrics to drive process improvements and ensure visibility to leadership and staff. This work impacts the achievement of customer, operational, project, or service objectives and is guided by department objectives.
  • Responsible for working with LAS Service Training to review and build technical training for coordinator team, including assisting with training when needed.
  • Collaborate with the Procurement Specialist on items such as vendor management, contracts, pricing, lead times, and services provided.
  • Ability to oversee multiple projects with a strong ability to troubleshoot issues as needed. May lead project teams or projects with moderate resource requirements, risk, and/or complexity.
  • Provide concise and timely communication to internal and external customers.
  • Lead efforts in identifying and overseeing the execution of assigned project action items. Mentor others to solve complex problems; uses analytical thinking, tools and judgement to identify innovative solutions.
  • Assist in providing necessary information for financial asset tracking.
  • Responsible for managing lab equipment storage, including working with internal teams to provide awareness to what is available to claim.
  • Work with a third-party vendor to sell unwanted lab equipment. This includes tracking what was sent to be sold, updating the financial planning team on equipment sold, coordinating the transfer of funds, and evaluating overall cost to maximize profits with the third-party vendor.
  • Perform other related duties as assigned by management.

Minimum Qualifications

  • Bachelor's degree in business administration, computer science, or related field; Associate's degree in business administration, computer science, or related field and 2 years of relevant experience, or high school degree/general education diploma and 4 years of relevant experience in lieu of degree.
  • 7+ years of experience in a combination of the following:
    • Communicating service needs and coordinating scheduling of external vendors.
    • Using SAP, or other CMMS for tracking equipment/assets and/or service activities.
    • Leading projects/project teams and/or directing people without direct authority.
    • Other Windows-based data capture systems.
  • 1+ year of mentoring technical personnel.
  • Advanced computer skills.
  • Proficient in Microsoft Office to include Excel macros and pivot tables.
  • Authorization to work in the United States without sponsorship.

Preferred Qualifications

  • Hands-on experience with equipment qualification.
  • Experience in working in a regulated environment CAP, CLIA, FDA and/or ISO.

Salary Range:

$62,000.00 - $102,000.00

The annual base salary shown is for this position located in US - WI - Madison on a full-time basis. In addition, this position is bonus eligible, and is eligible to be considered for company stock at hire and on an annual basis.
