The Department of Medicine is comprised of 11 divisions representing various subspecialties. The Division of Hematology/Oncology delivers high-acuity, multidisciplinary care across multiple locations and supports a growing faculty base engaged in clinical, research, and academic missions. The administrative team provides critical infrastructure to support faculty operations, clinical scheduling, space coordination, and institutional compliance, ensuring the division's continued success and growth.


Your Role on the Team

The Administrative Officer II (AO2) for the Division of Hematology/Oncology provides high-level administrative support to Division Leadership Faculty and oversees core clinical operations for all faculty across the division. The AO2 is responsible for a wide range of operational duties, including processing reimbursements, coordinating academic personnel actions, maintaining provider profiles, and participating in institutional planning activities. The AO2 serves as a liaison between leadership and key stakeholders across the Department of Medicine, the Chao Cancer Center, and other institutional offices.

This position also leads clinical operations workflows, ensuring the proper creation, closure, and adjustment of faculty clinic templates based on approved time off and clinical assignments. The AO2 monitors clinical productivity across sites, evaluates benchmark performance, and escalates concerns to the Division Administrator when needed. The AO2 also attends Cancer Center Space Committee meetings, contributing to strategic space planning discussions and maintaining alignment between space needs and faculty growth. Working collaboratively with other administrative staff, AO2 supports onboarding logistics, ensures continuity of operations, and helps streamline administrative processes division-wide


What It Takes to be Successful

Required:

  • Strong working knowledge of UC administrative policies, reimbursement processes, and clinical operations workflows.
  • Ability to gather, organize, and analyze operational and scheduling information to support clinical and academic programs.
  • Excellent written and verbal communication skills with the ability to clearly convey complex information to diverse stakeholders.
  • Proficiency using Microsoft Office and database tools (e.g., Excel, Outlook, and institutional systems such as EPIC, Tableau, or DSS).
  • Demonstrated ability to prioritize tasks, work under pressure, and manage multiple assignments in a high-volume environment.
  • Ability to adapt to changing priorities.
  • Ability to function as a member of a team.
  • Intermediate knowledge and understanding of internal control practices and their impact on protecting University resources.
  • Experience maintaining or updating institutional data such as provider profiles, clinic templates, or reporting dashboards.
  • Bachelor's Degree in Health Administration, business or related field or related experience.
  • Minimum of two years of administrative experience in an academic institution. Experience developing and managing budgets, researching variances and presenting recommendations for resolution.
