The Front Desk Administrator will provide direct administrative and clerical support to front desk and help support the Human Resources administration function. This position will greet all guests and handle administrative duties including answering phones, greeting guests and preparing company badges. |
PRINCIPLE DUTIES AND RESPONSIBILITIES |
- Telephone operator duties
- Distributing internal, external, incoming and outgoing mail and package process
- Greet customers, visitors and guests and announce their arrival
- Maintain visitors screen
- Provide administrative support for the candidate interview process as required
- Create new hire folders an maintain adequate stocking levels
- Order lunches for new hires, as required
- Create employee personnel files and all employee documents to ensure proper stocking levels
- Update policies and other documents as directed by Human Resources
- Prepare employee badges including taking pictures and uploading to shared drive:
- Administer, track and monitor contractor badge process
- Complete Maintenance Work Requests (MWR) as required for lobby and HR area repairs
- Place office supplies orders for Human Resources
- Update phone extension list for internal site use
- Ensure maintenance of required stocking levels of materials used for filing, mail and supply ordering
- Event planning and Social Responsibility support
- Providing safety shoe and safety glasses vouchers to employees

KNOWLEDGE, SKILLS & ABILITIES |
- Excellent computer skills (Microsoft Office, Excel, Word). MS Powerpoint is a plus.
- Friendly customer service attitude, excellent interpersonal skills, and the ability to function independently.
- Must be able to coordinate multiple priorities within an interruption driven environment.
- Excellent bi-lingual (English and Spanish) oral and written skills, preferred to help support changing workforce employee base..

EDUCATION AND EXPERIENCE |
Required Education / Experience
- High School Diploma or GED equivalent
- 1 - 3 years of prior experience supporting in a Human Resource oriented environment
