Administrative Assistant #25-812 Sunnyvale, California, United States Full-Time / Part-Time Full-Time Career Level Entry Level Job Description 3D Plus USA is located in Sunnyvale, CA and is a subsidiary of HEICO Corporation. 3D PLUS USA supplies advanced high-density 3D microelectronic products and die stacking and wafer level stacking technologies for space and defense applications. Job Description: Invoicing for customer orders shipped (creating invoice in QB / emailing invoices to customers) Vendor bills entry in QB: AmEx / Factory invoices / FedEx / UPS if any / commission / expense reports Manage AmEx account online ATPs preparation (commission / operating expense) - send via email for approval Keep track of commission invoices from outside sales reps Answering customer questions, providing information, taking and processing orders (Purchase Orders, Sales Orders, Quotes) Track packages shipped by factory in France Process packages received to be shipped out to the customer the same day it was received Managing office inventory and working with vendors to ensure the regular supply of office materials Compiling and maintaining records of office business transactions Operating office equipment including printers, copiers, fax machines and multimedia instruments Tradeshow schedule management (split w/ Admin Clerk - registration, shipping of banners, giveaways, etc to and from tradeshow location) Customer forms completion (e.g. reps & certs) / managing customer portals and/or websites Knowledge of Trade Compliance (FARS, DFARS) Assist with other related clerical duties such as photocopying, faxing, filing, scanning and collating. Assist with special projects and perform other duties as assigned Requirements EDUCATION: High School Diploma or GED Equivalent Required. Some college degree preferred. EXPERIENCE: Minimum of 1 year of work experience in an office environment.
