Administrative Assistant


Department: Office of Equity


Full-time, Hybrid


Hourly Range: $19.88 - $29.83/hr



Job Summary


The Administrative Assistant is responsible for fiscal management (i.e., invoice processing), greeting visitors, answering phone calls, managing the office calendar, directing inquiries, handling mail, maintaining office supplies, and providing excellent customer service to community members and internal Milwaukee County employees. They also support the Chief Equity Officer by managing their calendar, scheduling meetings, coordinating travel arrangements, preparing documents like presentations and reports, handling correspondence, maintaining files, all while prioritizing confidential information and acting as a key point of contact for the Chief Equity Officer. This is essential for the smooth day-to-day operation of the office.



Schedule: This position will work a hybrid schedule 8am-5pm (4 days in the office/1 day remote), with occasional evenings and weekend hours for events.



Job Responsibilities



  • Administrative Support - Answer phones and office emails, coordinate meetings, manage calendars of senior staff, type correspondence, sort mail, complete travel advances and expense reports, take notes, follow-up on action item completion after meetings, send reminders, and maintain SharePoint folders.
  • Fiscal Management - Process all purchasing requests. Provide support to ensure all Office of Equity requisitions and invoices are processed and meet deadlines. General knowledge of department accounting codes. Work closely with the Director of Equity Strategy & Operations and the Central Business Office Analyst on monthly budget tracking.
  • Assistant to the Chief Equity Officer - Coordinate meetings and calendar for Chief Equity Officer, provide other administrative support as needed to the Director of Equity Strategy & Operations and other management and departmental staff.
  • Project Support and Special assignments - Coordinate all open records requests, participate in event planning and/or execution. Assist with various projects or tasks as required.
  • Ability to lift, carry, push and pull up to 30 lbs.
  • Ability to properly use desktop computers, laptops, land line phones, cell phones, tablets, copiers, printers, scanners, and fax machines.
  • Other duties as assigned.



Required Education, License/Certification and Experiences



  • Current residency within the State of Wisconsin upon application required
  • High School Diploma, GED or equivalency required
  • Three (3) years or more of work experience in a Secretarial, Clerical Support or C-suite Support role required
  • Intermediate knowledge of all related computer and software applications such as Microsoft Word, Excel, Outlook, PowerPoint, Teams, OneNote and Visio required
  • Strong customer service skills required
  • Commitment to Diversity, Equity, Inclusion and Belonging required
  • Strong communication skills both verbally and written required
  • Ability to maintain confidentiality regarding extremely sensitive and/or confidential issues required



Preferred Education, License/Certification and Experiences



  • Associate degree or higher preferred
  • Previous C-suite support work experience preferred
