The Executive Assistant will play a key role in supporting the Department Chair of Mechanical Engineering, with a strong focus on communication, faculty committee coordination essential to shared governance, faculty recruitment, and professional development. This position also manages the Chair's calendar and daily scheduling needs.

Success in this role requires a deep understanding of the interests and needs of diverse stakeholders, including students, faculty, staff, alumni, prospective faculty, campus partners, and industry collaborators.

The successful candidate will:
* Possess advanced problem-solving and analytical skills, particularly in administrative contexts.
* Exhibit professionalism and interpersonal skills and the ability to work effectively with a wide range of internal and external stakeholders.
* Operate with a high degree of independence, sound judgment, and discretion, particularly when handling sensitive or confidential information.
* Demonstrate initiative in contributing to shared strategic communication efforts.
* Be eager to learn, grow professionally, and support the department's mission.
* Bring creativity, curiosity, and innovative thinking to their work.

Key Job Responsibilities:
  • Manages the organization, auditing, security, and confidentiality of records and files

  • Assists with logistics for faculty recruiting and management

  • Develops and facilitates communications of varying complexity between various internal and external stakeholders

  • Compiles, screens, and evaluates correspondence and reports and recommends actions

  • Monitors budgets and reviews and approves expenditures

  • Schedules logistics for meetings, conferences, and travel and organizes schedules for a college or division leadership position

Compensation:

The starting salary for the position is $55,000, but is negotiable based on experience and qualifications.

Required Qualifications:

  • 1+ year experience in, executive assistance, events or communications.

  • Experience using Microsoft Word, Excel and PowerPoint, Google Suite, or equivalent


Preferred Qualifications:

  • Experience supporting executive or faculty leadership

  • Experience with the tenure process in higher education

  • Experience organizing and maintaining calendars, coordinating meetings and presentations

  • Experience working with confidential information

  • Demonstrated time management and organizational skills with strong attention to detail

  • Excellent written communication skills


Education:

Bachelor's degree or higher required
