We are seeking a highly organized and detail-oriented to support our team by managing internal event scheduling, communication, and administrative tasks. This role plays a crucial part in ensuring the seamless coordination of trainings, team gatherings, and planning processes while maintaining efficient operations.

The base hourly pay range below represents the low and high end of the Palisades Tahoe Resort, LLC's hourly pay range for this position. Actual pay will vary and may be above or below the range based on various factors including but not limited to experience, education, training, location, merit system, quantity or quality of production, responsibilities, and regular and/or necessary travel. The range listed is just one component of Palisades Tahoe Resort, LLC's total compensation package for employees. Other rewards may include short-term and long-term incentives and many region-specific benefits.

Base hourly pay range: $22.96 - $32.14 per hour

Essential Job Responsibilities:
  • Training & Event Coordination: Schedule and organize internal trainings, team gatherings, and company parties by collaborating with internal team members.
  • Venue Planning Email Management: Monitor and manage the venue planning email, acting as the first point of contact for clients before they meet their planner.
  • Change Log & Report Distribution: Compile, update, and distribute change logs and key reports to relevant team members.
  • Team Organization & Support: Maintain structured documentation, reports, and schedules to keep the planning team well-organized and informed.
  • Administrative Support: Assist with various administrative tasks, ensuring efficient communication and record-keeping.
  • Event Management Support:
    • Assist Event Managers with client communication, follow-ups, and Banquet Event Order (BEO) creation.
    • Modify, edit, and update Amadeus/Delphi.fdc to reflect actuals, current menus, and final invoicing from accounting.
    • Organize audiovisual equipment in advance for meetings and events.
    • Coordinate hotels, transportation, and catering as needed.
    • Attend and monitor activities to ensure client satisfaction.
    • Review invoices and approve payments.
    • Send lodging group resumes to resorts for applicable external events.
  • Professionalism & Efficiency: Maintain a high level of professionalism while interacting with staff, clients, and vendors in a fast-paced environment, sometimes under pressure. Adapt quickly to changing needs and demonstrate flexibility, resourcefulness, and proactive problem-solving.

  • Strong written and verbal communication skills across all levels of the organization.
  • Excellent organizational and problem-solving skills with the ability to multitask and meet deadlines.
  • Ability to build and maintain strong working relationships.
  • Proficiency in Delphi.fdc, Amadeus, Microsoft Office (Word, Excel, Outlook, Access) and other relevant tools.
  • Confidence and expertise in interacting with clients and vendors.
  • Ability to work with a sense of urgency and prioritize tasks effectively.
  • Maintain a professional, business-like appearance at all times.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple tasks and meet deadlines efficiently.
  • Experience in event coordination, administration, or related fields preferred.
  • Proficiency in Microsoft Office & Teams, Salesforce, and other productivity tools.


Education and Experience:
  • High School Diploma or GED.
  • Two years of related experience and/or training, or an equivalent combination of education and experience.

  • Regular activities include: walking, talking, seeing, hearing, sitting at a computer station, and operating office equipment.

  • Vision Requirements: close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.

Work Environment:
  • Indoor/Outdoor: May be exposed to outside weather conditions.
  • Noise Levels: Moderate office environment noise.
  • Equipment Used: Standard office equipment (computers, printers, phones, audiovisual setups, etc.).
