The Executive Assistant to the CEO and Chief People Officer (CPO) will provide senior executive-level administrative support to Travere's Chief Executive Officer and Chief People Officer. He/She will perform responsibilities in a manner that is in line with Company's values. In addition to document generation, filing and significant and complex scheduling, the Executive Assistant performs duties such as coordination of meetings and conferences, arranging complex domestic and international travel, preparing presentations, and working on special projects. The Executive Assistant to the CEO & CPO answers non-routine correspondence and assembles highly confidential and sensitive information. This role interacts with a diverse group of important external contacts as well as internal contacts at all levels of the organization.

Key Responsibilities:

  • Proactively streamline and facilitate work demands of the CEO and the CPO by providing very senior and often complex administrative support within a broad scope of discretion and a high level of confidentiality, accuracy, and timeliness.
  • Must coordinate efforts across multiple global time zones.
  • Consistently represent the office of the CEO and People Success in a professional manner.
  • Must manage complex schedules by coordinating and arranging appointments, onsite and offsite meetings, meeting space and services (food, beverage, and audio/visual), hosting visitors, etc.
  • Responsible for understanding and managing complex corporate calendars.
  • Ensure all meeting and travel arrangements are proactively and accurately scheduled, finalized, and communicated, in a cost-effective manner, in accordance with policy, as well to ensure the greatest efficiency for executive.
  • May schedule meetings for other executive team members and staff.
  • Compile and prepare presentation materials including slides, graphs and other written materials provided by various sources that may often contain confidential and highly sensitive material.
  • With corporate travel partners, arrange domestic/international travel including multiple destinations, and ensure that trips are planned with all executive attendance needs to be considered. Includes arrangements for hotel, car, business meals or other requirements to ensure a successful trip.
  • Efficiently and accurately process expense reports, contracts, check requests and other accounting forms in accordance with company policy and to ensure timely disbursement or reimbursement through appropriate follow-up.
  • Facilitate and ensure completion of paperwork, such as agreements, and contracts, through Legal, PS and Finance. Will act as a department contract designee.
  • Schedule critical business meetings with the Board of Directors, including support to Board members and managing logistics of board meetings, sending materials for review prior to the meetings, taking and distributing notes, and fielding general queries from board members.
  • Actively lead the internal support team for all administrative staff to ensure alignment of information and processes and cross functional collaboration.
  • Regularly partner cross functionally with leaders and staff at all levels of the organization to ensure the needs of the executives they support are delivered seamlessly.
  • Interact and coordinate regularly with other Executive Team members and their staff in the execution of daily responsibilities.
  • Effectively support external interactions of the CEO and CPO including investors, patient groups, or other associations.
  • Provide general office support, including screening and directing phone calls, reading, and routing mail, developing, and maintaining complex filing systems, photocopying, scanning, and faxing documents as needed.
  • May perform other duties as needed.

Education/ Experience Requirements:

  • Bachelor's degree in a business discipline preferred. An equivalent combination of education and applicable job experience may be considered.
  • Minimum 6 years of executive assistant experience supporting C-suite level executives in a highly dynamic environment.

Additional Skills/Experience:

  • Significant experience working across multiple national and international time zones.
  • Experience working within the biotech/pharmaceutical industry is highly preferred.
  • Highly proficient in a wide variety of computer software including but not limited to Microsoft Excel, Word, PowerPoint, Outlook, Zoom, MS Teams, and Veeva or other Company specific software such as Agiloft.
  • Proficient in utilizing various technical tools such as iPads, laptops, etc.; Demonstrated ability to learn and effectively use company-specific technology such as Agiloft contract software.
  • Must be significantly adept at anticipating and proactively planning for the needs of executives.
  • Exceptional attention to detail, particularly when it comes to Board-related materials, communications, and logistics; Accuracy and precision must also extend to day-to-day responsibilities such as meeting invites, calendar management, and travel coordination.
  • Superior organizational skills with ability to appropriately prioritize and multitask; Able to flex and adjust to changing needs quickly.
  • Excellent written, verbal, presentation, and interpersonal communication skills to interface with all levels of management, employees, and external partners.
  • Exceptional judgment and problem solving ; Demonstrates strong Situational Awareness & Presence with clear understanding of when in-person support is essential-for example, during Board meetings, CEO onsite, or other high-impact executive sessions-is vital.
  • Timely follow through on issues with minimal supervision.
  • Ability to work regularly under pressure to meet tight deadlines, highly complex and often highly sensitive situations, and coordinate the input of others in these circumstances.
  • Must be comfortable making informed decisions autonomously, especially in time-sensitive situations or when managing the CEO's dynamic schedule.
  • The ability to influence and lead without authority, given the role that this person plays with the team of executive/administrative support team.
  • Ability to travel domestically and internationally up to 10% if needed to execute needs of the business.
  • All positions have an essential job function to be able to perform face to face work with colleagues and/or onsite in San Diego. No role is considered to be 100% remote.

Target Base Pay Range:

$112,000.00 - $145,000.00
