Job Summary:

Under general supervision and in accordance with established policies and procedures, the Deposit Account Coordinator is responsible for ensuring the accuracy of all information in the member record. The position will focus on the proper processing and maintenance of deceased accounts, timely handing of Verification of Deposits (VODs) and fee refund requests. Will act as backup to the Senior Estate/Deposit Specialist to ensure the proper processing and review of Power of Attorney designations; and review and process all Revocable Living Trust (RLT) paperwork. This includes auditing, documenting, researching, and tracking reports in support of Apple Federal Credit Union initiatives and organizational goals. Ensure proper record retention and maintenance of account relationships. Serves as back up for reviewing and maintaining any Payable on Death (POD) designations that are received by the Deposits department. This position will work closely with the branch network to provide support for decedent account review and ensure accurate and empathetic follow up. The Symitar and Synergy operating systems will be the primary tool used for auditing and research. Performs duties and responsibilities in accordance with The Apple Way principles, of Team Up, Serve With Purpose, Challenge Yourself and Own It. Remains cognizant of and adheres to credit union policies and procedures, and regulations pertaining to the Bank Secrecy Act. Performs other duties as assigned by the Manager of Deposits.

Essential Functions & Responsibilities:

  • Responsible for handling incoming deceased service events through core system throughout the full life cycle of the event. This includes initiating contact with reporting party to gather the appropriate documentation to process deceased account. Once documentation is received, review for accuracy and completion. Complete final steps of deceased processing within core system to ensure accurate close out of account and any applicable disbursements are sent to proper recipient(s).
  • Act as backup to Senior Estate/Deposit Specialist to ensure proper processing and review of Revocable Living Trust (RLT), Payable on Death (POD), Power of Attorney (POA) and Authorized Signer designations to the member record.
  • Ensure timely handing of Verification of Deposits (VODs) and fee refund requests.
  • Assist with daily department operations, including cashier check processing, filing, and mail collection, sorting, and processing.
  • Review department manual for accuracy and follow up with appropriate person to update information.
  • Backup IRA/Deposit Specialist with member portal requests and member follow up as needed.
  • Perform other duties as assigned by the Manager of Deposits.

Knowledge and Skills:

Experience: One to three years of similar or related experience required. Proficiency in Symitar and Synergy. Must be able to use Excel to create spreadsheets and data base applications including Access.

Education: A high school education or GED.

Interpersonal Skills: Ability to analyze and interpret financial reports, professional journals, and government regulations. Must be able to work with other departments and build consensus. Ability to effectively present ideas and concepts verbally and in writing.

Other Skills: Must be able to define problems, outline facts, and draw valid conclusions. Ability to organize workload to accommodate competing deadlines and work productively and professionally under stress.

Physical Requirements: The ability to lift 25 lbs. and utilize standard office equipment including, but not limited to, PC, fax, copier, telephone, etc.

Work Environment: Ability to function in a financial institution environment.
