About the Job

This position supports the coordination and logistical operations of Office of Classroom Management (OCM) assigned learning spaces. It is responsible for overseeing facilities, furnishings, systems, and equipment to ensure optimal performance, safety, usability, and alignment with teaching and learning needs. The role includes direct oversight of corrective, preventive, and predictive maintenance, as well as quality assurance, operational reporting, and support for classroom technologies. Serving as a key liaison between service providers and academic users, the position involves extensive customer interaction with faculty, staff, service units, and campus partners. It evaluates project improvements, supplemental service bids, MOUs, warranties, and service level agreement (SLA) performance to ensure effective delivery of services.

Additionally, the position provides guidance, support, and training to University partners on classroom operations, learning space-related support, technologies, and accessibility accommodations.

Academic Support Resources supports hybrid and flexible working arrangements. On-campus work is required for this position. This position has a work expectation to be in-person, on campus. This is a 100%-time, 40 hour/week salaried position.

Job Duties

Operational duties (50%)

  • Plan, schedule, and coordinate maintenance, repair, and project work in Office of Classroom Management (OCM) spaces, working closely with internal partners, external vendors, and service providers.
  • Responsible for an Area of Coverage across the Twin Cities campus that could include over 200 spaces, including classrooms, study spaces, and service spaces.
  • Manage vendor relationships through site surveys, walk-throughs, and ensure warranties and Service Level Agreements (SLAs) or Department MOUs are met.
  • Monitor classroom readiness by preparing learning spaces for daily instructional use, maintaining appropriate supply levels, and resetting minor audio, video, and instructional equipment.
  • Conduct routine space inspections, document facility conditions, identify repair and custodial needs, coordinate repair schedules, and track completion; escalate unresolved issues as necessary.
  • Serve as a point of contact for utility shutdowns and facility disruptions, minimizing impact on instruction.
  • Proactively identify needs based on lifecycle and condition assessments, including furniture and equipment inventories, and track warranty compliance.
  • Collaborate with Facilities Management, University Services, academic units, and other partners to maintain service quality and resolve operational issues promptly.
  • Independently manage and resolve most operational issues, escalating only when necessary.

Student Operations, Access, & Compliance (20%)

  • Coordinate student employment functions, including hiring, training, scheduling, supervision, and performance evaluation.
  • Manage administrative processes such as timesheets, account setup, attendance tracking, and device or software management (e.g., OrangeQC, Google Groups, iPads).
  • Serve as a liaison with HR, IT, and other campus units to support onboarding, offboarding, and technical needs.
  • Oversee building access and physical key inventory, including clearance levels, card access changes, Deister keybox setup, and coordination with locksmith services.
  • Ensure departmental compliance with ADA requirements by partnering with the Disability Resource Center to meet accommodation needs.
  • Administer the departmental vehicle and driver program, including training, record keeping,
    maintenance coordination, and incident reporting.
  • Contribute to internal communications, such as student employee newsletters, professional
    development initiatives, and operational updates.
  • Support coordination of departmental tools and platforms (e.g., Study Space Finder) and assist with facilities-related communications.
  • Cross-train with colleagues and provide mutual coverage across student operations and compliance functions.

Data, Systems, and Service Coordination (20%)

  • Maintain and update departmental databases (e.g., LSM, 25Live, Google Drive) tracking classroom features, inventory, assets, and inspection records.
  • Use inspection and reporting tools (e.g., OrangeQC) to schedule inspections, monitor issues, and analyze trends for informed decision-making.
  • Coordinate updates to Room Search, maintaining current photos and documentation.
  • Provide responsive customer service by triaging work orders, service requests, and inquiries; follow up to ensure resolution and satisfaction.
  • Track and support classroom property management, inventory control, and quality assurance processes.
  • Assist with ad hoc reporting and contribute to developing policies and procedures related to operations, safety, and compliance.
  • Serve as backup contact for issue escalation and service coordination during staffing gaps.

Other duties as assigned: (10%)

  • Provide administrative support for departmental units and special projects as needed.
  • Stay current on department policies, procedures, and professional best practices.
  • Participate in training, committees, and ongoing professional development.
  • Assist users with classroom technology and control systems as needed.
  • Keep informed about the latest developments in facilities management and presentation technology through ongoing professional development.

Qualifications

Required Qualifications

  • BA/BS plus at least two years of experience or a combination of related education and work experience to equal at least six years.
  • This position requires extensive daily fieldwork and the ability to travel to and from classrooms and construction sites, warehouses, shops, loading docks, public spaces, and some mechanical spaces, some of which may be difficult to access. Ability to lift 20 lbs is required.
  • Current Driver's license

Preferred Qualifications (Core Competencies)

  • Proven experience managing maintenance, repair, or operational projects in facility environments
  • Strong organizational skills with attention to detail
  • Ability to work independently and to handle multiple tasks with demanding deadlines
  • Experience in a high-visibility customer service-oriented position.
  • Knowledge of the University of Minnesota - Twin Cities campus layout and buildings

Pay and Benefits

Pay Range: $54,000 - $57,000 annually; depending on education/qualifications/experience
