Job Overview

Boart Longyear is seeking a highly detail-oriented and customer-focused MDM Vendor Administrator - Finance to join our global Master Data Management team. This role is critical in maintaining the integrity of our vendor and customer master data across all global systems. The MDM Vendor Administrator is responsible for onboarding, updating, and maintaining vendor records, ensuring accurate banking and payment information, and delivering excellent service to internal and external stakeholders.

This position supports Boart Longyear's global operations and plays a key role in securing efficient and accurate payment processing, regulatory compliance, and master data governance. The successful candidate will demonstrate a high degree of accuracy, ownership, and adaptability in a fast-paced, collaborative environment.

Key Responsibilities

Vendor Master Data Management - Finance



  • Update and maintain vendor records in Oracle.
  • Administer global vendor banking information, payment terms, and method-of-payment preferences.
  • Validate all vendor data to ensure accuracy, completeness, and compliance with internal policies and external regulations.
  • Troubleshooting issues with banking during payment processing.


Employee Reimbursement Support



  • Maintain employee banking details for direct deposit processing within Oracle.
  • Support troubleshooting of reimbursement issues related to data integrity.


Customer Master Data Oversight



  • Assist in maintaining select 3rd-party global customer master data as assigned.


Compliance and Audit Support



  • Ensure compliance with internal controls, Sarbanes-Oxley (SOX), and audit requirements.
  • Maintain complete documentation of all data changes and vendor correspondence.


Cross-Functional Coordination



  • Collaborate with Accounts Payable, Procurement, Finance, and Regional Business Units to validate and support vendor onboarding.
  • Serve as the point of contact for vendor banking setup inquiries and provide timely customer service.
  • Support and act as a back-up the Global Vendor Administrator


Continuous Improvement



  • Identify and contribute to process improvements related to data quality, automation, and system efficiency.
  • Assist in the development of standard operating procedures (SOPs) for vendor master management.


Education:



  • High School Diploma or GED required.
  • Experience and/or knowledge of Global Banking practices.
  • Accounts Payable or Accounts Receivables knowledge preferred
  • Associate degree or coursework in Finance, Accounting, Business Administration, or related field is preferred.


Experience:



  • 2+ years of experience in a Finance, Accounts Payable, Procurement, or Data Management role.
  • Experience with ERP systems such as Oracle (preferred), SAP, or similar enterprise platforms.
  • Experience in Vendor Management process preferred.
  • Proficiency in data entry, master data maintenance, or financial administration.
  • Previous experience working in a shared services or global corporate environment is highly desirable.


Languages:



  • Fluency in English is required.
  • Additional languages such as Spanish, French or Polish are a plus, given Boart Longyear's global presence.


Physical and Environmental Conditions:



  • Prolonged periods sitting at a desk and working on a computer.
  • Use of standard office equipment (keyboard, monitor, telephone, headset).
  • Occasional extended hours during financial close periods or system cutovers.


Work Environment:



  • Office-based or remote (hybrid work arrangements may be available based on location).
  • Fast-paced, collaborative, and highly cross-functional environment.
  • Occasional global time zone coordination may be required.


Lifting Requirements:



  • Minimal lifting required. Occasionally may handle files or office supplies not exceeding 15 lbs (7 kg).
