Executive Administrative Assistant

Your main responsibilities

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to senior executives. This role requires exceptional discretion, outstanding organizational skills, and the ability to manage a diverse range of responsibilities in a dynamic environment.




  • Act as the right hand of the Americas General Manager and HR Head, anticipating needs, managing priorities and supporting high impact decisions.
  • Coordinate and manage the executive's daily schedule, including meetings, appointments, and travel arrangements, ensuring optimal time management.
  • Act as the primary point of contact between the executive and internal/external stakeholders, handling correspondence, phone calls, and emails with professionalism and confidentiality.
  • Plan and oversee complex travel itineraries, including flights, accommodations, and transportation, adapting to changes and ensuring seamless experiences.
  • Organize and prepare materials for meetings and events, including agendas, presentations, and minutes, ensuring the executive is well-prepared.
  • Manage sensitive information and documents with the utmost discretion, maintaining confidentiality.

What you bring

  • Proven experience as an Executive Assistant supporting high-level executives.
  • Exceptional organizational and time-management skills.
  • Strong communication skills, both written and verbal.
  • High degree of discretion and confidentiality.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to adapt to a fast-paced and ever-changing environment.



Preferred Attributes:



  • Experience in a similar role within a high-profile or demanding environment.
  • Flexibility to work outside standard business hours as needed.
  • Proactive approach to problem-solving and decision-making.
  • Fluency in English, Spanish is desirable. Additional languages are a plus.
