Description

The primary function of this position is to perform clerical duties and responsibilities in support of the SIU Medicine North Dirksen Express Care in Springfield, IL. This position requires a flexible schedule during weekdays, weekends, and occasional holidays. The incumbent's responsibility is to ensure that quality and efficient patient registration is completed. The incumbent will serve as a team leader in the reception/office area.


Examples of Duties

70% Reception

  1. Recieve and welcome patients at the front desk.
  2. Receive and enter patient demographics into the patient management system.
  3. Review and update insurance information in the patient management system.
  4. Create initial medical records for new patients in the patient management system.
  5. Schedule and check-in walk-in appointments in a single encounter.
  6. Educate patients on clinic notices and authorization forms.
  7. Receive patient signatures on notices and authorization forms.
  8. Manage walk-in appointments on daily provider schedules.
  9. Scan signed forms and insurance cards into the patient management system.
  10. Retrieve medication lists during registration in the electronic health record system.
  11. Collect payments/fees for visits and enter into the patient management system.
  12. Understand insurance plans that may impact the costs of patient visits in the clinic.
  13. Maintain transaction receipt register.
  14. Understand and guide patients with billing inquiries to patient billing services.
  15. Direct patient traffic in the building reception area.
  16. Obtain and record updated patient consent for treatment.
  17. Obtain and record accurate DCFS consents for treatment, if necessary.
25% Team Lead
  1. Manage medical record documents on-site.
  2. Manage office supplies and mail requirements.
  3. Manage daily staff breaks and lunches in accordance with SIU policy.
  4. Point of contact for reception duties and responsibilities.
  5. Provide onboarding and training to new staff.
  6. Ensure the opening of the reception area is standardized and followed.
  7. Ensure the closing of the reception area is standardized and followed.
  8. Ensure deposits are balanced accurately at the end of the day.
  9. Ensure batches are closed and completed daily.
  10. Ensure each month-end is completed timely.

5% Administrative Assistance
  1. Assist the Medical Office Coordinator to establish staff schedules and coverage.
  2. Assist in obtaining coverage for call-offs.
  3. A first-line leader is needed to receive and mitigate patient complaints.
  4. Enter patient complaints and clinic incidents in the incident reporting system.


Qualifications

  1. Any one or any combination totaling two (2) years (24 months), from the categories below:
    1. College education with coursework in a medical or para-medical field such as nursing assistant, medical assistant, or medical secretary and/or business fields such as business, finance, computer science, public administration, or social science, as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
    2. Work experience comparable to that performed at the Medical Office Associate level or in other positions of comparable responsibility.
