Job Summary:

The Documentation Specialist is responsible for supporting the Project Management team by coordinating document exchange between departments, suppliers, and customers, ensuring that it is accurate, up-to-date, logged, easily accessible, and properly archived. You will also develop customized Installation, Operation, and Maintenance Manuals per customer specification outlined in the purchase order or by working directly with the customer to confirm an agreed format and inclusion of content.

Responsibilities:


  • Work with Project Mangers to populate a list of project specific documentation required by the customer based on the agreed purchase order and due dates

  • Send out weekly notification to cross-functional team of upcoming submittal and return requirements

  • Organize, label, combine, submit, log, and archive documentation to and from the customer and to and from a vendor

  • Receive and summarize documentation returned from the customer and vendor and distribute internally for review

  • Maintain submittal and return record log noting dates and document approval status

  • Gather and combine quality documentation into a comprehensive Quality Book to be provided to the customer

  • Gather and combine documentation into a comprehensive Installation, Operation, and Maintenance Manual to be provided to the customer. May, at times, work directly with customer on required format and inclusion of information

  • Print production packet to be used on the assembly floor

  • Scan hard copy legacy documentation for digital records

  • Provide weekly notification to the Project Managers and Project Coordinators of upcoming milestone invoice release dates

  • Review and communicate lines shipped without invoice on a weekly basis to the Project Managers, Project Coordinators, and Customer Care teams




Requirements:


  • High School Diploma or equivalent

  • Familiarity with Microsoft Excel

  • Experience modifying documents using Adobe Acrobat or similar software

  • Strong interpersonal skills

  • Clear and concise communicator (both oral and written)

  • Proven time management, organizational, problem solving, and prioritization skills to successfully complete responsibilities in a timely manner

  • Ability to resolve conflict, to apply critical thinking to solve problems and to escalate when needed

  • Highly organized with ability to work independently as well as part of a team



Preferences:


  • Bachelor's degree (engineering or technical discipline)

  • Working knowledge of SAP



Travel & Work Arrangements/Requirements

This position will be based in Connersville, Indiana, with minimal anticipated travel.
