As a food service Office Assistant, you'll be the ultimate multitasker-keeping meal services on point, tracking deliveries, and supporting seniors while handling key administrative tasks. - Keep operations running smoothly with administrative support-filing, data entry, and document management.
- Manage meal orders, track deliveries, and ensure accuracy for congregate cafe sites and Kosher meals.
- Assist seniors, families, and social workers with meal requests and service inquiries.
- Communicate schedule changes, weather-related closures, and meal updates to consumers, staff, and management.
- Maintain accurate financial documentation, including deposits and invoicing for Kosher meals.
- Collaborate with Cafe Managers to ensure efficient meal ordering and staff coverage.
- Occasionally step in to help with cafe operations or meal deliveries when needed.
- Support reporting, inventory tracking, and system updates to keep everything organized.
What We're Looking For:
- Minimum of 1 year of proven experience in an administrative or clerical role, supporting daily office operations.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational skills with experience in data entry, document management, and record keeping.
- Ability to handle sensitive or confidential information with discretion.
- Excellent verbal and written communication, with the ability to interact professionally with seniors, families, and team members.
- Capable of handling multiple responsibilities in a fast-paced environment while maintaining efficiency and accuracy.
- Willingness to step in when needed, assist with cafe operations, and contribute to overall department success.

Physical & Environmental Demands:
- Work Environment: Primarily based in a senior cafe setting with occasional administrative work in an office environment. The workspace is climate-controlled, well-lit, and equipped with standard office and food service equipment. Some movement between cafe locations, offices, and meal delivery sites may be required.
- Physical Activity: Involves a mix of desk-based tasks (typing, reviewing documents, and managing records) and active work (standing, walking, bending, and reaching to retrieve supplies or assist with meal service).
- Lifting and Carrying: Requires handling meal trays, food supplies, and office materials, with occasional lifting of up to 25 pounds. Proper lifting techniques should be followed when transporting items.
- Manual Dexterity & Visual Acuity: Frequent use of hands and fingers for typing, meal tracking, and documentation. Must be able to read and interpret printed and digital materials, including schedules, reports, and invoices, with normal or corrected vision.
- Noise Level: The cafe and office environments maintain a moderate noise level, with occasional increases during busy meal service periods, staff discussions, or customer interactions.
- Office Equipment Use: Regular use of computers, phones, scanners, and copiers for record-keeping, reporting, and communication. May require troubleshooting technical issues or coordinating with support teams.
- Work Hours & Flexibility: Standard business hours apply, but flexibility may be required, including occasional extended hours to meet deadlines, support meal distribution, or address urgent scheduling changes.
- Meal Delivery & Transportation: Occasionally drives to deliver meals, requiring safe vehicle operation and adherence to schedules. Must be comfortable navigating different road conditions and ensuring timely service.
