Position Summary

As a part of Student Engagement and Wellness at Metropolitan State University of Denver, the Student Care Center and the Office of the Dean of Students are committed to holistic student support and ensuring student safety and well-being through fostering a university community of integrity and respect. The scope of the Student Care Center includes the facilitation of non-clinical case management, general support and referrals for students experiencing life challenges which interfere with academic progress and overall well-being, management of Student Emergency Retention Funds, and assistance with various public benefits and basic needs support. In collaboration with the Office of the Dean of Students, the Student Care Center leads the University's CARE Team (behavioral intervention team) as well. Functions within the Dean of Students Office include: student conduct, student conflict resolution services, and leadership of theCARETeam.

The Intake & Operations Manager will play a critical role in the Student Care Center and Dean of Students Office by responding to and triaging MSU Denver student needs referred to these offices. Additionally, this position will manage the daily operations of the Student Care Center and Office of the Dean of Students through supervision of student employees, supplemental oversight of budgets, fiscal transactions and purchasing of relevant supplies and equipment, and other administrative functions.

This position reports to the Assistant Dean of Students/Director of the Student Care Center and supervises a small team of student employees.

Duties/Responsibilities

50% - Manage Intake Process and Provide Direct Support to Students Engaging with the Student Care Center

  • Work with Assistant Dean of Students/Director of the Student Care Center to develop and implement a robust and efficient intake process to manage incoming Care Referrals.

  • Lead team of Student Employees in supporting intake process with walk-ins and students referred to the Student Care Center.

  • Leverage the NaBITA Risk Rubric to support Student Care Center staff in triaging and assigningreferrals.

  • Conduct initial outreach with students referred for Public Benefits/Basic Needs assistance and/or low-level Case Management needs.

  • Provide follow up outreach and general resource information to students as applicable.

  • Meet with students to answer basic questions regarding the Student Care Center's services and supports.

  • Maintain student records using Maxient database.

  • Assist in planning and responding to large scale student outreach related to public benefits and promotion of basic needs supports.

  • Assist in planning large scale student outreach in the event of situations such as natural disasters & other community impact situations.

  • Represent the Student Care Center and Office of the Dean of Studentsin communication/outreach efforts including tabling events and presentations to faculty, staff, and students.

  • Assist with the assessment of student learning and/or the efficacy of Student Care Center.

  • Assist with de-escalation of students who present in crisis (virtually or in person) to the Student Care Center.

25% - Supervision of Student Employees

  • Recruit, hire, train, supervise, and evaluate student staff members to support daily operations, intake functions, and other projects in the Student Care Center. This position serves as a direct supervisor of student staff.

  • In coordination with the Assistant Dean of Students/Director of the Student Care Center and the Associate Dean of Students, develop and implement an annual onboarding and training plan for students employed within the Student Care Center/Dean of Students Offices.

  • Organize and maintain Student Employee schedules to ensure sufficient walk in, phone, and office coverage during normal business hours.

20% - Operations & Administrative Support

  • In coordination with Student Employees, oversee reception of visitors and callers to the Student Care Center and Office of the Dean of Students. This may include: making referrals, scheduling appointments, resolving problems and answering questions regarding policies and procedures. Visitors and callers are primarilyMSUDenver students, staff, and members of the faculty but also include diverse external community members, family members of current and prospective students, and others.

  • Manage the Student Care Center website, emailand voicemail inboxes.

  • Provide event support and logistics coordination related to Student Care Center/Office of the Dean of Students participation in University-wide events, departmental programming, and/or internal staff meetings and retreats.

  • In collaboration with the Assistant Dean of Students/Director of the Student Care Center, support budget oversight of specific funds, including the Student Emergency Retention Fund, the DREAMer Emergency Fund, and others.

  • Coordinate fiscal transactions for the offices, including the creation and management of Special Purchase Orders (SPOs), Purchase Orders (Pos), check requests, and related.

  • Purchase/procure office supplies and equipment, maintain departmental inventories, and develop/maintain systems for effective office operations related to supply and equipment management.

  • Manage the flow of and appropriate electronic storage (filing) of all paperwork through the Student Care Center and Dean of Students Office including personnel, budget/fiscal, and travel approvals.

  • Assist in grant reporting and invoicing for the Student Care Center.

  • Additionally, work to coordinate payment with all vendors and/or contractors used by the offices to ensure appropriate and timely payment. Manage payment of invoices, prepare contracts, funds transfers, and complete related functions for the Student Care Center and Dean of Students Office, in accordance with state and institutional fiscal policies.

5% - Other Duties as assigned

Required Qualifications

  • Proven ability to thrive in environments that demand frequent, empathetic interactions with individuals from diverse backgrounds and with a wide range of lived experiences and personal challenges.
  • Ability to exercise discretion and independent judgement
  • One or more years of professional work experience in a nonprofit or educational setting.
  • Demonstrated values related to equity and social justice.
  • Experience documenting sensitive information and/or managing confidential records.

Preferred Qualifications

  • Bachelor's degree in higher education administration, social work, counseling, business or a related field from a regionally accredited college or university.
  • Experience providing holistic case management or resource navigation tostudents, individuals, and/or families.
  • Experience responding to individuals who may be in distress.
  • Experience developing and/or updating websites using a content management system.
  • Prior administrative experience with strong organizational, planning, and multi-tasking skills.
  • Experience managing budgets, coordinating purchasing, and/or related fiscal functions.
  • Bilingual (English and Spanish) preferred.

Work Hours

  • M-F 8:00 am-5:00 pm. Exempt
  • This position is primarily an on-campus role, supporting offices which are open Monday through Friday, 8 AM - 5 PM. Flexibility for occasional remote work is available.
  • Weekend and Evening work on very rare occasions
  • Travel: Rarely if ever

Salary for Announcement

We anticipate the qualified candidate to be placed between $47,300 - $56,700. The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
