Overview:
Are you passionate about orchestrating unforgettable experiences? Do you excel in organizing and executing intricate event details? If so, we invite you to join our Strategy Team as an Events Manager, where you'll play a pivotal role in ensuring every touchpoint-onsite and offsite-is intentional, seamless, and guest-centric, crafting exceptional event experiences for our esteemed financial advisor clients.
What you'll do:
- Lead the logistics planning and execution of assigned events (typically 8-10 per year, ranging from 40 to 500 attendees).
- Manage end-to-end event details, including venue selection and layout, vendor coordination, registration, travel and lodging, meal planning, gifting, signage, and decor.
- Collaborate with Program Managers (content/speakers) and the Promotional Manager (communications) to deliver cohesive, well-branded events.
- Maintain and track event-related budgets, vendor contracts, and financial documentation in coordination with internal stakeholders.
- Source, negotiate, and maintain strong relationships with hotels, transportation providers, and other vendors; sign hotel and venue agreements as needed.
- Oversee registration platforms (primarily Cvent) and manage event-related data and reports.
- Manage inventory of event materials and coordinate ordering and distribution of event gifts and supplies.
- Assist teammates, vendors, and guests with logistics-related needs such as travel, transportation, attire, and event-day support.
- Solicit and review post-event feedback to continuously elevate the experience for future events.
- Step in and support teammates as needed to ensure team-wide event success.
Experience you'll bring:
- Minimum 3 years of professional experience in event planning or coordination.
- Demonstrated ability to juggle multiple projects and timelines-calmly and confidently.
- Deep understanding of event logistics, vendor relationships, travel planning, and event setup.
- Proficiency in Microsoft Office Suite, Outlook, Salesforce, and Cvent (or similar platforms).
- Highly organized, detail-oriented, and solutions-focused-especially when things change quickly.
- A positive, collaborative teammate with excellent communication and relationship-building skills.
- Willingness to work early mornings, evenings, or weekends as needed during events.
- Travel required (less than 25% annually).
Bonus Points:
- Bachelor's degree in hospitality, business, or a related field.
- Prior experience in financial services, corporate events, or client-facing training programs.
- Familiarity with branded gifting, venue sourcing, or experiential planning.
