Albemarle is seeking a highly experienced and strategic Sr Executive Assistant to support the Chief Operations Officer (COO) of a global enterprise. As a member of the Executive Leadership Team, the COO plays a critical role in leadingAlbemarle's global operations, driving operational excellence, strategic execution, and enterprise-wide alignment. This position requires exceptional organizational intelligence, executive presence, and the ability to operate with the utmost discretion in a fast-paced, complex environment supporting a global executive.
The Executive Assistant will serve as a trusted partner to the COO, providing seamless support that enables effective decision-making, cross-functional coordination, and high-level engagement with internal and external stakeholders-including the CEO, Board of Directors, and other Executive Leadership Team (ELT) members. This position is in office (5-days per week in office) and located in Charlotte, NC. Given the global scope of this role, occasional work outside of standard business hours will be required to support the COO, international stakeholders and partners across multiple time zones.
Key Responsibilities
Executive Leadership Support
- Act as a strategic extension of the COO by managing priorities, workflows, and information flow with precision and discretion.
- Ensure the COO is fully prepared for all meetings and engagements through proactive planning, briefing materials, and timely follow-ups.
Calendar & Time Management
- Own and manage the COO's highly dynamic, global calendar, prioritizing strategic meetings, resolving conflicts, and ensuring alignment with business priorities.
- Serve as a gatekeeper and facilitator to optimize the COO's time and focus.
Global Travel & Executive Engagements
- Coordinate all aspects of domestic and international travel, including itineraries, accommodations, briefing documents, and logistical support.
- Anticipate needs and manage changes in real-time, ensuring seamless execution of travel plans.
Executive Communications & Stakeholder Engagement
- Draft, edit, and manage high-level communications, presentations, and reports on behalf of the COO.
- Serve as a liaison between the COO and senior internal and external stakeholders, maintaining the highest standards of professionalism and confidentiality.
Leadership Meeting & Board Preparation
- Plan and manage ELT meetings, operational reviews, and cross-functional leadership sessions.
- Prepare and coordinate materials for board meetings and executive reports; ensure follow-through on action items.
Business Operations & Financial Oversight
- Support budget tracking, invoice processing, and expense reporting in accordance with corporate guidelines.
- Partner with finance and operations teams to monitor departmental spend and project tracking.
Project Coordination & Document Management
- Organize and manage confidential documents, strategic dashboards, and project materials.
- Create polished presentations and reports using Microsoft Office and enterprise collaboration tools.
- Collaborate closely with other Executive Assistants and departments to ensure seamless coordination across business functions.
- Provide occasional support to other ELT members or business initiatives as directed by the COO.
- Prior experience managing or mentoring other administrative professionals; ability to provide guidance, set expectations, and ensure high-quality support across executive offices.
- Strong leadership presence with the ability to foster collaboration, accountability, and a culture of excellence within the broader administrative team.
Qualifications
Bachelor's degree or equivalent experience required. Minimum 8-10 years of experience supporting C-suite executives in a global, matrixed organization. Proven ability to manage complex schedules, high-stakes communications, and global logistics with autonomy and foresight. Excellent written and verbal communication skills, with demonstrated experience drafting for senior audiences. Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and digital collaboration platforms (e.g., Teams, SharePoint). Strong business acumen, sound judgment, and the ability to handle confidential information with integrity. Highly organized and adaptable, with a proven track record of navigating ambiguity and managing multiple priorities. Experience supporting senior leaders in operations, strategy, or enterprise-level functions preferred.
