If so, we are looking for someone like you to jointhe Johns Hopkins University Applied Physics Laboratory (APL).

We are seeking an enthusiastic Group Administrator who will manage the Group Office and provide administrative and financial tasking support to the Air & Missile Defense Mission Area's Financial and Business Services Group (AB2).

Duties Include:

Group Administrative Duties

  • Process and reconcile procurement card transactions and expense reimbursements
  • Maintain calendars, schedule and coordinate meeting logistics, teleconferences and assist with tracking group goal planning
  • Coordinate the repairs and maintenance of office equipment
  • Order & maintain office supplies
  • Work with Talent Services to schedule and track phone screens and interviews
  • Lead new AB2 staff with onboarding logistics and welcome new staff to the group. Ensure that staff members are set up for success on day one by coordinating office space, furniture, and IT resources.
  • Organize and manage group shared folders and files.
  • Act as the Group's Property Associate and Security Representative. Serve as the group's liaison to the Sector's Security Rep (SSR) team, attend internal training, distribute security related email communication to the group, partner and work collaboratively with the SSR team on all security-related concern and report potential security incidents.
  • Plan, coordinate, and manage external training opportunities
  • Prepare for and leading group social events
  • Overall, look for ways to make the group more effective and productive by identifying new and improved administrative procedures

Financial Team Support

  • Prepare requisitions for purchases and subcontracts
  • Assist in Business Process tasks such as preparing Deficit Spend Requests (DSRs), Pre-Contract Cost Authorizations (PCCAs), Post Expenditure Adjustments (PEAs), and Labor Cost Transfers (LCTs)
  • Assist financial team in Business Planning and Proposal tasks such as staff planning, new task creation, and proposal packaging by utilizing APL business systems
  • Refresh direct funding reconciliation report and check on invalid group data on a weekly basis
  • Disseminate approved electronic copies of Proposals, DSRs and PCCAs
  • Act as the Sector's Contract Closeout Coordinator to ensure that all required closeout documentation has been prepared, completed and approved by the project's Program Manager as well as collect and upload the documents to appropriate locations

Qualifications

You meet the minimum requirements if you have...

  • Possess a High School diploma or equivalent with a minimum of 5 years of administrative and financial support experience
  • Proficiency in Microsoft Project, Microsoft Excel, Microsoft Word, PowerPoint, Outlook and Adobe Acrobat.
  • Experience with report generation and data gathering.
  • Demonstrated initiative in a fast-paced environment with minimal supervision
  • Excellent organizational and time management skills with ability to multi-task and prioritize workload
  • Possess excellent interpersonal skills and ability to interact with all staff levels and representatives of external organizations effectively and with a professional demeanor
  • Possess strong verbal and written communication skills with a demonstrated ability to effectively build relationships across teams and groups
  • Have a strong motivation to effectively meet team members' needs and proactively seek out the opportunity for additional tasking
  • Are able to obtain an Interim Secret level security clearance by your start date and can ultimately obtain a Secret level security clearance. If selected, you will be subject to a government security clearance investigation and must meet the requirements for access to classified information. Eligibility requirements include U.S. citizenship.

  • Are an advanced user of Microsoft Office Suite
  • Have experience supporting financial and business groups
  • Have a working knowledge of APL's applications and information systems: RMIS, Data Warehouse, EBSS, PEER
  • Have familiarity with APL security procedures

The referenced pay range is based on JHU APL's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level with consideration for internal parity. For salaried employees scheduled to work less than 40 hours per week, annual salary will be prorated based on the number of hours worked. APL may offer bonuses or other forms of compensation per internal policy and/or contractual designation. Additional compensation may be provided in the form of a sign-on bonus, relocation benefits, locality allowance or discretionary payments for exceptional performance. APL provides eligible staff with a comprehensive benefits package including retirement plans, paid time off, medical, dental, vision, life insurance, short-term disability, long-term disability, flexible spending accounts, education assistance, and training and development.
