Summary The Office & Human Resources Support Associate's tasks will include office management and support for the local leadership team for various tasks. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The individual will ensure the smooth running of our company's office and contribute to driving sustainable growth. This position will also work with our Human Resources team to manage people data, support organizational transactions, and drive other special projects. Primary Responsibilities
- Coordinate office activities and operations to secure efficiency and compliance with company policies
- Manage phone calls and correspondence (email, letters, packages, etc.)
- Manage facility issues and coordinate items with the property manager
- Coordinate the chemical disposal, recycling, and other services of the facility
- Track stock of office supplies and place orders as needed
- Submit timely reports and prepare presentations/proposals as assigned
- Manage visitor check-in, supplier and customer visit agendas, etc.
- Support employees with badge access creation.
- Assist with travel arrangements/appointments, meeting room administration, and WIFI codes
- Participate in the site EH&S team and report required metrics on the required cadence in compliance with OSHA and corporate governance
- Assist colleagues whenever necessary
- Planning and organizing meetings and special events, including scheduling, sending reminders, and organizing catering when necessary
- Coordinates, schedules, and organizes candidates for interviews and other appointments
- Welcomes and escorts visitors to the leadership team
- Uses various software, including word processing, spreadsheets, and presentation software, to prepare reports and/or special projects
- Partners with other administrative staff across the organization and the executive leadership team for mutual success
- Strict compliance with quality, occupational safety, and environmental regulations
- Implementation of the instructions of the quality/environmental management representative and the occupational safety specialist
HR Support Responsibilities
- Under the direction of Celera Motion's HR Director, this position will work with our Human Resources team to manage people data, support organizational transactions, and drive other special projects.
- Supports data entry in HRIS Systems (Workday).
- Complete onboarding activities and orientations for new hires.
- Send out employee notifications of changes (new hires, terminations, promotions, address changes, name changes, etc.).
- Organize and maintain employee files as needed.
- Supports HR with various confidential organizational or special projects.
- Ensures the data integrity of employees and organization information entered in the Workday system is accurate and timely.
- Update community service hours tracking log for the NovantaCARES program for the facility.
- Attend all required HR confidentiality, compliance, and systems training.
- Support the HRD with administrative tasks, such as expense reports, booking meetings, handling invoices, etc.
Required Experience, Education, Skills, Training, and Competencies
- High school diploma: BS/BA in office administration or relevant field is preferred
- Minimum 2 to 5 years of professional experience working in an office environment providing administrative support
- Prior experience working within an HR team is required
- Strong proficiency in Microsoft Office applications
- Must be a self-starter, professional demeanor and an outgoing style, with excellent customer service skills
- Ability to take ownership with the ability to work effectively independently and with teams
- Excellent organizational skills with attention to detail
- Reliable, punctual, and proactive
