The Program Assistant contributes to our mission by providing quality scholarship program processing support to our Scholarship Management department through our internal systems, reporting, and general administrative duties. This is an entry level position with training provided on our internal systems and processes. This person will receive robust training in all the various tasks and may provide support for various functions during our peak season.

Position Expectations:

  • Ensure quality, accuracy, and timeliness in supporting Scholarship Management department activities.
  • Create communications, reports, spreadsheets, and documents using standard and customized software and systems.
  • Coordinate with Program Managers to create and send bulk email notifications.
  • Facilitate the annual scholarship renewal process by sending renewal invitations, processing student renewal applications, and approving grade point averages, term credits, and majors.
  • Assist with payment-related tasks including student record updates and processing check voids, as needed.
  • Manage international wire transfers, including reviewing student data for completeness, data entry into specialized software, and tracking manager approval and activation.
  • Assist in researching and resolving payment questions from internal staff or college representatives.
  • Maintain college data to facilitate payments.
  • Provide backup to the Evaluation team by reviewing standard or emergency grant applications as assigned.

Minimum Requirements:

  • Computer proficiency in Microsoft Office Suite, including Word and Excel.
  • Ability to adapt to new technologies.
  • Highly organized, with strong attention to detail, to produce the highest quality work, including follow-up and follow-through.
  • Ability to follow instructions and meet deadlines.
  • Strong data entry skills.
  • Strong proofreading skills.
  • Strong oral and written communication skills.
  • Ability to communicate, listen to, and understand information and ideas presented.
  • Ability to analyze information and evaluate results to choose the best solution and solve problems.
  • 1-3 years of office experience.

Preferred Requirements:

  • Experience providing customer service to or supporting diverse populations.
  • Cultural awareness to appreciate varied lived experiences to drive internal teamwork.
  • Two-year degree in business or related field of study or equivalent experience.

Full Pay range: Non-Exempt ($14.42 - $18.03 - $21.63)

This is the pay range for our staff in this position, from entry to fully independent and proficient in the role utilizing our propriety systems and processes. The candidate selected for this position will be offered a wage applicable to their background and skill set as aligned to our business. This will result in an initial offer between $14.42 - $15.50 an hour.
