Summary of Job Duties:The Assistant Director of Financial Aid and Scholarships provides leadership in administering university scholarship programs, ensuring compliance with institutional, donor, NCAA, federal, state, and agency regulations. This role collaborates with departments across campus to align scholarship programs with the university's recruitment and retention strategies, optimizing the use of scholarship funds. The ideal candidate is a dynamic, ethical professional with strong strategic thinking skills and a commitment to student success. This position is governed by state and federal laws, and agency/institution policy. Qualifications:

Required Education and/or Experience:

  • Bachelor's degree;

  • At least three years of experience in higher education, scholarship administration, or a related field.

Preferred Education and/or Experience:

  • Experience in financial aid administration, NCAA compliance, or student enrollment management.

Job Duties and Responsibilities:

  • Develop, implement, and maintain university scholarship policies and procedures to ensure compliance with institutional, donor, federal, state, NCAA, and agency regulations;

  • Ensure the accurate and consistent application of scholarship policies in awarding student financial aid;

  • Lead the processing and awarding of all athletic scholarships, ensuring compliance with NCAA, Title IV, and state regulations, and collaborating closely with athletics staff to maintain evolving compliance standards;

  • Manage the awarding and processing of state-funded financial aid, including coordinating with technical staff to upload rosters into Banner on a scheduled basis; manually processing rosters for ADHE scholarships such as Military Dependents Scholarship, Law Enforcement Officers' Dependents Scholarship, and National Guard Tuition Waiver; running and reviewing discrepancy reports to verify award accuracy before disbursement; and submitting rosters by established deadlines and reconciling funds to ensure alignment between awards and received funds;

  • Hire, train, supervise, and evaluate scholarship staff, fostering a culture of excellence and continuous improvement;

  • Provide ongoing training for financial aid personnel, ensuring proficiency in current regulations, technology systems, and multicultural customer service practices;

  • Evaluate the effectiveness of financial aid programs and staff, implementing necessary improvements to enhance efficiency and compliance;

  • Represent the Financial Aid Office at institutional, local, state, and national professional meetings and associations;

  • Serve as a key resource in interpreting and explaining scholarship policies, regulations, and procedures to administrators, faculty, staff, students, and the broader community;

  • Collaborate with campus departments and academic colleges to promote scholarships effectively to prospective and current students, parents, and high school counselors;

  • Lead the development of strategic scholarship initiatives to support enrollment and student success through market research and data analysis;

  • Oversee the promotion of scholarship opportunities through print and digital publications, ensuring clear and accessible information for students and stakeholders;

  • Maintain and enhance the university's scholarship website to provide up-to-date, engaging, and comprehensive information;

  • Oversee the scholarship selection process, ensuring an efficient, transparent, and timely experience for students and scholarship coordinators;

  • Develop an annual scholarship budget based on historical retention rates, projected new student enrollment, and other relevant factors;

  • Manage the distribution of scholarship offers and acceptance forms, ensuring compliance with university and scholarship policies;

  • Serve as an essential employee during campus closures, working on campus or remotely, as required by the employee's supervisor, to ensure continuity of necessary services;

  • Coordinate the development and distribution of the annual scholarship application;

  • Maintain expertise in institutional, state, and federal financial aid policies, regulations, and laws;

  • Prepare and deliver informative financial aid presentations on and off campus, including in the local community and statewide, promoting access, affordability, and accountability;

  • Develop and maintain written procedures and an annual scholarship calendar to enhance operational efficiency;

  • Ensure effective utilization of scholarship management software;

  • Represent the university positively at campus and external events;

  • Disseminate relevant information to staff, direct reports, and campus partners as needed;

  • Perform other duties as assigned.

Knowledge, Skills, and Abilities:

  • Exceptional verbal and written communication skills;

  • Strong organizational and analytical skills with the ability to manage a variable workload and meet tight deadlines with minimal supervision;

  • High attention to detail and accuracy;

  • Proficiency in financial aid and scholarship management software and other relevant technology;

  • Ability to analyze policies and procedures and implement improvements to enhance efficiency, compliance, and accuracy;

  • Strong strategic planning and problem-solving abilities;

  • Excellent presentation and public speaking skills.
