The Education Coordinator III (Fellowship Program Coordinator) will support the Program Director for the Hematology and Medical Oncology Fellowship Program, as well as the other Graduate Medical Education and Undergraduate Medical Education responsibilities of the department. This will include but not be limited to, coordination of clinical and didactic educational activities, support for the fellows in the training program and coordination of the interview season/NRMP match and on-boarding of new fellows. It also includes support for other trainees, including residents, students and visitors from other institutions. Coordination includes advance and contingency planning for student and faculty sessions, events, and meetings, as well as effectively problem solving to ensure smooth delivery of the Graduate Medical Education and Undergraduate Medical Education programs within the department.

Job Description

ESSENTIAL FUNCTIONS:

  • Coordinates and communicates faculty teaching/clinical supervision of trainees, evaluation of trainees (including Clinical Competency Committee) and supports other faculty curricular needs as assigned.
  • Communicates with the NRMP, ABIM, ACGME, American Society of Hematology (ASH) and American Society for Clinical Oncology (ASCO) for fellowship / trainee related issues
  • Works closely and communicates regularly with trainees and faculty to maintain accurate and current databases of all documents, rosters, timelines, policies, procedures, and performance metrics in shared network folders to optimize team performance.
  • Coordinates in-training exams and serves in-training exam proctor for the ASH and ASCO annual in-training examinations.
  • Interprets and applies ACGME requirements for multiple stakeholders including trainees, program director, associate program directors and faculty. Remains abreast of changes which include an understanding of the new milestones criteria and ability to apply it to fellow review and evaluation.
  • Anticipates and meets information expectations and deadlines of multiple offices and rotation sites to provide for a seamless fellowship experience. This includes the Department of Medical Oncology, the Division of Hematology in the Department of Medicine, and all non-TJUH training sites.
  • Coordinates activities related to the resident process and experience which increasingly requires greater independent thinking, assimilation of information and formulation of recommendations to the Program Director and other Administrators as needed.
  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.

EDUCATIONAL/TRAINING REQUIREMENTS:

  • High School Diploma or GED, bachelor's degree preferred.

EXPERIENCE REQUIREMENTS:

  • A minimum of 5 years prior related experience; higher education experience preferred.
  • High-level proficiency of entire Microsoft Office Suite
  • Learning management systems (i.e. Canvas)

  • Epic (related to scheduling - not patient care)
  • Zoom and other video conferencing platforms
