Job Overview:The International Rescue committee (IRC) is seeking a reliable and detail-oriented Administrative/Office assistant to support the daily operations of our Virginia Offices. This role serves as the first point of contact for clients and visitors and is essential to maintaining a welcoming and efficient office environment. The position is fully on-site and responsible for opening and closing the office each day.

Major Responsibilities:

  • Greet and assist visitors, assess their needs, and direct them to the appropriate staff or departments.
  • Manage front desk operations and visitor flow during peak hours.
  • Answer and route incoming calls for the Richmond office; take messages and respond to basic inquiries.
  • Maintain office supplies inventory and place orders in accordance with procurement guidelines.
  • Ensure office equipment (copier, fax, printer, scanner, projector, etc.) is operational, coordinate maintenance and repairs.
  • Review intern applications, conduct interviews, and support onboarding and training in collaboration with the operations coordinator.
  • Distribute and track bus passes and vouchers; maintain accurate inventory records. Assists with issuing ID badges and maintaining staff photo directories.
  • Support Operations Coordinator with IT and phone system, including voicemail updates and extension management.
  • Manage mail distribution and outgoing mail processes.
  • Maintain digital and physical filing systems.
  • Support office inventory tracking, including contributions-in-kind (CIK).
  • Assist with general office infrastructure and administrative projects as assigned.

Job Requirements:

Education:High school diploma required; some college coursework preferred.

Demonstrated Skills & Competencies:

  • Fluent in English with strong verbal and written communication skills. Additional language skills are a plus.
  • Proficiency in Microsoft Office Suite (Excel, Word, and Outlook)
  • Highly organized, dependable, and detail oriented.
  • Comfortable working in a multicultural team environment.
  • Valid driver's license, active insurance, and access to reliable transportation required.

Working Environment:

  • Standard office setting.
  • This is an in-person role with no remote or hybrid work option.

Compensation: Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
