Job Summary:



Fellowship Coordinators are responsible for exercising discretion, analytical skill, personal accountability, and responsibility in a wide range of areas, including academic, administrative, managerial, and student services functions. Work involves creating, integrating, applying, and sharing knowledge directly related to a professional field.

Professionals at the intermediate level are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field. Professionals at the intermediate level may be limited in scope, and their duties are performed with guidance and direction from other professionals.

Senior Professionals are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field. Work is performed fully independently. Senior-level professional work is performed fully independently, moving beyond coordinating to managing and leading position initiatives. All levels begin in a training and development capacity.

Key Responsibilities:



  • Coordinates all aspects of the annual ACGME Fellowship recruitment process: coordinating faculty interviewers, space, meals, transportation and, in some cases, housing and other needs for prospective fellows, as well as collaborate with the department Faculty Affairs Coordinator on recruitment including onboarding for the Non-ACGME fellowships.
  • Gathers and assembles interview results, and prepares for the Fellowship Match process, including coordinating a faculty ranking session and ultimate submission of Match list to the online system.
  • Manages and coordinates all aspects of orientation, onboarding, and offboarding for all fellows.
  • Coordinates all required electronic recordkeeping that serves as the data processes for the Fellowships by managing and tracking the education and conference funds provided to all fellows, including the submission of reimbursements in the CU Concur/CU Medicine Concur systems for all ACGME and Non-ACGME fellows.
  • Manages the various databases required for compliance, including, but not limited to, MedHub, SF Match, NRMP, ABA, ACGME/WebADS, QGenda, OnCall (amion), MedHub, and software used for fellowship evaluations or a host of other fellowship needs.
  • Coordinates program and fiscal policies related to fellowship needs at all training site locations, including the University of Colorado Hospital (UCH), Children's Hospital Colorado (CHCO), the Denver Veterans Administration Medical Center (VAMC), Denver Health Medical Center (DHMC), and others.
  • Maintains regular and efficient communication with the Program Directors and trainees.



Work Location:



Onsite - This role is expected to work onsite and is located in Aurora, CO. At the conclusion of the training period, the individual who fills this position may be eligible for remote work 1 - 2 days a week pending the approval of the position supervisor.

Minimum Qualifications (Intermediate Professional):



  • Bachelor's degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited college or university.


Substitution: A combination of education and related technical/paraprofessional experience may substitute for the bachelor's degree on a year-for-year basis.



  • One (1) year of professional experience in an academic setting or high-level customer service environment.
  • Experience utilizing software systems such as Microsoft Office Suite, Adobe, Teams, and Zoom.


Minimum Qualifications (Senior Professional):



  • Bachelor's degree in education, psychology, business, public administration, health care, educational technology, social science, liberal arts, communications, accounting, finance, library science, or a directly related field from an accredited college or university.


Substitution: A combination of education and related technical/paraprofessional experience may substitute for the bachelor's degree on a year-for-year basis.



  • Two (2) years of professional experience in an academic setting or high-level customer service environment.
  • Experience utilizing software systems such as Microsoft Office Suite, Adobe, Teams, and Zoom.


Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:



  • Two to three years of professional experience in an academic setting or high-level customer service environment, preferably related to medical education.
  • Experience working within Graduate Medical Education (GME) and familiarity with the accrediting bodies.
  • Working knowledge of MedHub, NRMP, SFMatch, WebADS, and other GME-related systems.


Knowledge, Skills, and Abilities:



  • Organizational skills with the ability to plan and organize Fellowship needs and activities, establish work priorities, and provide follow-through to ensure completion of activities, both individually and by assisting others with work tasks.
  • Working knowledge of, or and the ability to become fully competent in computer programs essential to the Fellowships, including the Microsoft Suite (Word, Excel, Access, PowerPoint, Outlook), Zoom, MSTeams, SF Match, QGenda, OnCall (amion) scheduling tools and MedHub. Software used will continue to change, so adaptability to new electronic programs and tools is essential.
  • Ability to understand and apply regulatory requirements at the program level.
  • Ability to communicate effectively with administrative personnel, physicians, and other program personnel, trainees/prospective trainees, staff, and other constituents, in written communications and oral presentations. Interpersonal skills working with residents, fellows, faculty, team members, and others in a high-volume and stressful environment.
  • The ability to be a team player is essential.

Anticipated Pay Range:



The starting salary range (or hiring range) for this position has been established as:

Intermediate: $48,989 - $62,314

Senior: $52,961 - $67,367

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
