About the Role:

The senior contract administrator position will encompass and support all aspects of contracts and subcontracts for the organization. This role supports the life cycle of the contracting process, with a focus on a specific business segment-from assisting with the preparation of proposals; supporting project teams and finance; conducting negotiations with clients, subcontractors, and other partners; administering contracts and subcontracts; conducting compliance reporting; and maintaining contract and subcontract documentation (including the processing of contract modifications and change orders).

Key Responsibilities



  • Responsible for the administration of NYSTEC contracts in accordance with NYSTEC policies and procedures and applicable government regulations.
  • Provides oversight and holds responsibility for a specific segment of NYSTEC opportunities and contracts.
  • Ensures compliance with all required client and government corporate filings, including ensuring that they are completed accurately and in a timely fashion.
  • Organizes and/or participates in formal proposal reviews and makes recommendations for content improvement and/or compliance.
  • Manages the start-up and close-out process for all assigned projects.
  • Drafts various levels of contract/subcontract documents in accordance with applicable NYSTEC policies, procedures, practices, and/or guidelines.
  • Provides contract summaries and ensures contract execution in accordance with company policy.
  • Supports the development, negotiation, and award of agreements and subcontracts.
  • Monitors and ensures compliance with legal requirements, contract specifications (including MWBE participation and reporting), and government/client regulations.
  • Prepares and administers routine correspondence and other contract/subcontract related documentation.
  • Prepares, organizes, and maintains contract and subcontract records and files documenting performance and compliance.
  • Reviews and analyzes government and commercial solicitations to understand requirements, make recommendations as to business risks, and assists the proposal team to ensure fully responsive proposals.
  • Advises management of contractual rights and obligations and provides interpretation of and recommendations on terms and conditions.
  • Educates internal customers to improve processes and ensure more effective contracting practices.
  • Attends meetings with clients to review and resolve any problems or misunderstandings regarding contracts and to strengthen business relationships.
  • Establishes and maintains regular written and in-person stakeholder communications regarding pertinent contract and subcontract needs.
  • Prepares other contract reporting/compliance documentation as needed.


About You:

Required Qualifications



  • Ability to proactively recommend alternative solutions to legal/business issues that arise or could arise during the proposal process or contract negotiations.
  • Prior experience handling multiple complicated projects with conflicting deadlines.
  • Knowledge and experience working with, developing, and supporting a variety of contracting types (time and materials, fixed price, etc.).
  • Ability to work with several people-internal and external to the organization-using diplomatic communication techniques while maintaining a positive customer focus and attitude.
  • Ability to conduct and summarize complex matters and research as required.
  • Broad knowledge of corporate law and working knowledge of company contracts, policies, and operations.
  • Excellent written and verbal communication and the ability to read, analyze, and interpret technical journals and governmental regulations.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.


Preferred/Desired Qualifications



  • Knowledge of and experience with federal procurements.
  • Certified professional contracts manager (CPCM) or equivalent certification(s)/training.


Education and Experience



  • A bachelor's degree-preferably in business administration or information technology-and five years of relevant experience. An equivalent combination of advanced education, training, and experience will be considered.


The target base salary for this position is $79,793.00 to $109,716.00 per year. When determining compensation, we analyze and carefully consider several factors, including skill set, experience, location, and job-related qualifications.
