The AAMC is seeking a Temporary Benefits Assistant to provide important administrative and operational support to our Benefits team. In this part-time role, you will assist in the execution of key benefits projects for 2025 and help manage day-to-day benefit administrative tasks. Pay range - $20 - $25/hr

This is a great opportunity for someone pursuing a career in Human Resources or looking to gain hands-on experience in benefits administration within a collaborative, mission-driven organization. The ideal candidate is detail-oriented, organized, and committed to delivering outstanding employee service.

Key Duties and Responsibilities:

Customer Service & Employee Support

  • Review all Workday (HRIS) Qualifying Life Event submissions and follow up with employees when supporting documentation is missing.

  • Send timely reminders to new hires to complete their benefits enrollment.

  • Help maintain and promote Wellness Calendar events via internal platforms such as Viva Engage, 'the Courier' and 'Supervisor Update' newsletters.

  • Monitor the Benefits inbox and route messages appropriately to ensure timely responses. (Especially during peak times like Open Enrollment)

  • Respond to general employee inquiries about benefits; triage and escalate complex issues to appropriate team members or vendors.

  • Return phone calls from retirees and former employees with retirement-related questions.

Administrative Support

  • Upload and submit benefit invoices in Workday.

  • Email benefit coding details to Accounts Payable using established coding templates.

  • Assist in processing initial workers' compensation claims in coordination with the Leave and Compliance Coordinator and the insurance carrier.

  • Assist with mailing or emailing of required benefits notices (i.e., COBRA, Medicare Part D) as needed.

  • Coordinate with Ergonomic vendor to schedule ergonomic assessments for employees.

  • Support audit efforts related to employee benefit enrollments.

Project Support

  • Send communications (emails and letters) to former and current employees enrolled in frozen retiree plans- templates provided

  • Assist in drafting and formatting internal communications related to benefits changes, deadlines, or FAQs.

  • Assist in documenting and updating internal benefits-related procedures and workflows.

  • Help send follow-up communications related to leave of absence

  • Assist with open enrollment activities and benefits implementation projects as needed.

Qualifications:

  • Currently pursuing a degree in Human Resources, Business Administration, or a related field (or equivalent experience).

  • Proficient in Microsoft Word, Excel, SharePoint and Teams

  • Familiarity with employee benefits terminology (e.g., HSA, FSA, 403(b), COBRA, ADA, FMLA) is a plus.

  • Prior customer service experience highly preferred

  • Strong written and verbal communication skills.

  • Excellent interpersonal and collaboration skills.

  • Highly detail-oriented and organized.

  • Ability to multi-task and work effectively in a fast-paced environment.

  • Self-starter with the ability to work independently with minimal supervision.

  • Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.

Remote Work Eligibility

This position may be eligible for remote work.

If a bachelor's degree is required, related work experience may be substituted in some positions. One year of college course work at an accredited institution is equivalent to one year of related work experience.
