Position Description

Cold Spring Harbor Laboratory (CSHL) is a world-renowned research and educational institution with programs in cancer, neuroscience, plant biology, and quantitative biology. We are seeking a detail-oriented and dependable candidate to join our Logistics team.

This role plays a critical part in ensuring the smooth operation of all shipping, receiving, and mailroom functions across our organization. The Logistics Specialist is responsible the efficient, accurate, and timely handling of inbound and outbound shipments, internal deliveries, and mail operations. Position Responsibilities

  • Receive, inspect, and verify incoming shipments; log items in inventory systems.
  • Prepare, label, and document outbound shipments and ensure regulatory compliance.
  • Coordinate with carriers (FedEx, UPS, DHL, freight) for pickups and deliveries.
  • Track outbound shipments and confirm receipt when necessary.
  • Collect and sort incoming mail and packages; distribute them across departments.
  • Weigh, address, and apply postage to outgoing mail using automated or manual processes.
  • Deliver outgoing mail to postal facilities as needed.
  • Support employees with authorized personal shipments.
  • Pick, stage, and deliver inventory to departments based on internal requests.
  • Receive, organize, and store materials and supplies according to inventory procedures.
  • Operate forklifts, pallet jacks, hand trucks, and other material handling equipment safely.
  • Maintain inventory of shipping supplies and reorder stock as needed.
  • Ensure the warehouse is clean, secure, and organized Optimized for efficient workflow.
  • Assist with initial warehouse setup, layout adjustments, and reorganization as operational needs evolve.
  • Adhere to safety standards and regulations (DOT, OSHA, IATA).
  • Maintain accurate records for all shipping, receiving, and mail activities.
  • Participate in safety training; report incidents and hazards promptly.
  • Follow all internal operational and safety policies.
  • Monitor and replenish stock of shipping materials and supplies.
  • Perform additional related duties as assigned by the Manager, Shipping & Receiving, or Senior Shipping & Receiving Clerk.

Position Requirements

Education: High School diploma or equivalent (required); Associate degree or logistics-related certification (preferred).

Experience: 3-5 years of relevant experience in shipping, receiving, mailroom, or warehouse/logistics operations is preferred.

Other: Certified operator of forklifts, material handling equipment and Valid NYS Driver's license. Strong organizational skills and high attention to detail with effective communication and customer service abilities. Ability to lift up to 50 lbs., stand or walk for extended periods. Comfortable operating vehicles such as vans, box trucks and golf carts on public roads and campus.
