Administrative Assistant- Major Gifts

Job Objective: The Major Gifts Administrative Assistant will play a key role in assisting the Development Department staff. The assistant will work with the Development Department team leads to support the team, help manage priorities, and keep initiatives on track. This position requires the ability to multitask in a fast-paced environment and a heart to help those in need.

Essential Functions:



  • Coordinate and continually update the divisional donor database and other provided databases
  • Confirm and assist in scheduling appointments with donors and prospects
  • Detailed donor file coordination
  • Monthly mailings
  • Composing correspondence and proposals/presentations
  • Maintain expense and travel reports. Coordinate travel arrangements and itineraries as requested
  • Maintain team calendar and workflow
  • Maintain correspondence with TSA department heads and Corps Officers to ensure accurate and regular project progress
  • Clerical and database entry
  • Establish and maintain effective working relationships with employees, other agencies and the public
  • Organizes and prioritizes large volumes of information and calls
  • Drafts written responses or replies by phone or e-mail when necessary
  • Responds to regularly occurring requests for information
  • Keep monthly reports up to date
  • Answer the phone when needed, take messages or fields/answers all routine and non-routine questions
  • Ability to communicate efficiently and effectively at a moment's notice with Donor Relations Director when she/he is in the field (donor visits)
  • Coordinate production schedule with TSA department heads and Corps officers
  • Confirm and assist in scheduling appointments with outside vendors
  • Work in cooperation with other Development department team members
  • Other duties, special projects, and events as needed - not always during regular work hours



Minimum Qualifications:

Education: GED or High School Diploma

Experience: Minimum three years' experience as an administrative assistant

Certifications/Licenses: N/A

Skills/Abilities:



  • Ability to work independently
  • Excellent verbal and written communication skills required
  • Follow written and verbal instructions
  • Proficient in MS Word, Excel and the Internet
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.



Supervisory Responsibility: None

Physical Requirements: Lifting, pulling, and pushing materials up to 25 pounds for setting up events and holiday mailings. Sitting up to 7.5 hours per day. Reasonable accommodation may be made to enable individuals to perform the essential functions of this job.

Travel: None

Driving: Not required

Working Conditions: Work is performed in a typical office environment.
