Salary/Compensation Statement:

Working Schedule:

  • This is a part-time, as-needed position.
  • Up to 20 hours per week are expected in July and August, and up to 40 hours per week September 1 - November 7, 2025. No more than 1039 hours in a 12 month period.
  • Hours may vary greatly and early morning, evening and weekend hours may be required when implementing events.
  • Flexibility with regard to work schedule is required.

Required QUALIFICATIONS


Required Education:

  • Bachelor's Degree
  • Equivalency for Required Education: Four (4) additional years of experience beyond the minimum required may be deemed equivalent. Experience should be in nonprofit event coordination, implementation, and planning.

Required Experience:

  • Three (3) years of experience in an office environment involving extensive public contact is required.
  • One year of the required experience must be in a lead or supervisory capacity.

Licensure or Certification Requirements
An Oregon Driver's License or equivalent. *May be obtained at time of hire.

Position Purpose:
This high-energy position, supervised by the Annual Gifts Officer, plans, coordinates, and executes the annual fall fundraising event (in-person and virtual components, serving over 350 donors, providing excellent customer service to all sponsors, donors, and other event guests).
Essential Functions:

  • Under direct supervision of the Annual Gifts Officer, plan and execute the annual fall fundraising event for over 350 attendees, including managing and coordinating the event sponsors (for execution of sponsorship benefits), venue hospitality, live/silent auction items, and event volunteers. Oversee logistical execution on the night of the event.
  • Solicit and manage the donation of in-kind donations.
  • Organize and lead auction and steering committee meetings (external constituents and vendors) and facilitate communication with the event co-chairs for the fundraising event.
  • Determine room set-up specifications and audio-visual equipment needs for the fall fundraising event, negotiate with vendors including graphic designer, secure needed vendors, and select decorations, catering and other special offerings.
  • Implement event social media strategies in consultation with Foundation staff.
  • Enter information and ensure the accuracy of data entered into Foundation databases as assigned.
  • Problem solve and manage sensitive information with appropriate awareness of FERPA standards; maintain confidentiality and sensitivity to the privacy needs of students. Adhere to the Foundation's donor privacy policy.
  • Other duties as assigned.

Supervision Statement:
Reports to and works under the general supervision of the Foundation's Annual Gifts Officer. Work is performed independently according to College and department policies, State and federal rules or regulations and a knowledge of budgeting procedures, personnel practices, information analysis and report preparation. The supervisor is available to consult on problems and policy decisions. Work is reviewed for the quality of services provided to the department.

This position may have responsibility to plan work, assign tasks, provide priorities, train assigned staff and be available to answer questions or troubleshoot problems on a daily basis.
Physical Demands/Working Environment:

  • Transport boxes weighing up to fifty (50) pounds.
  • Must be willing to work non-traditional hours, including early mornings, evenings and/or weekends, as required to implement events.
  • Must be able to travel independently to/from event locations, including locations outside the Eugene/Springfield area.
  • This position requires that an employee is able to sit or stand for extended periods of time.
