Position Summary:
We have an exciting opportunity to join our team as a Program Associate.
The Program Associate works closely with the NYU Addiction Medicine Fellowship Directors and NYU Langone School of Medicine Administrators to facilitate administrative responsibilities and coordinate support efforts of the Addiction Fellowship Program. Additionally, the Program Associate assists in coordination of Bellevue Hospitals Primary Care Addiction Medicine Clinic.

- Fellowship Program and Project Logistics
- Meetings
- Assists with project and event planning implementation
- Manages logistics and contribute to content of fellowship meetings, conferences, and other project-related events
- Reports
- Facilitates program reports and proposal submissions for HRSA and ACGME
- Receives, classifies, reconciles and consolidates fellowship-related data for reports
- Prepares fellowship-related reports by verifying, interpreting and analyzing readily available information
- Budget
- Keeps track of budget and ensure adherence to program requirements
- Assists in the preparation of the department's budget report
- Coordinates petty cash and vendor payments
- Facilitates reimbursement for fellowship-related expenditures
- Supporting the Fellows & Curriculum Development
- Coordinates applicant interviews and assists in the credentialing and HR onboarding process
- Reviews and provides summary of fellows' monthly journal entries for the Program Director
- Assists in coordination of the twice-yearly OSCE activities
- Assigns and enforces monthly rotation evaluations for faculty supervisors, other clinical staff, and fellows
- Assigns and enforces completion of other evaluations (e.g. ACGME)
- Schedules the Fellowship Advisory Committee meetings and ensures that communication between all parties is maintained
- Works with Directors to create appropriate distribution of fellows on various rotations at sites throughout the year and across the campuses
- Coordination for the Primary Care Addiction Medicine Clinic
- Review patient list each week to ensure all follow-up appointments are scheduled correctly
- Check the clinic voicemail daily and relay information to the provider on call
- Triage and schedule new patient referrals
- Ensure adequate injectable medication stock (buprenorphine, naltrexone) and coordinate with nursing and pharmacy when supplies run low
- Be available during clinic hours (Monday mornings, Tuesday mornings) to coordinate last-minute scheduling changes, walk-in appointments, and other tasks as needed
- Gather and organize physicians' clinic schedule availabilities quarterly
- Estimate the room requirements for the clinic each day based on provider availability
- Ensure an appropriate number of patients scheduled for clinic each day based on provider availability
- Designates dates when the clinic does and does not have sufficient staffing for precepting model of fellow supervision
- Miscellaneous
- Prepares and proofreads memos, reports and applications.
- Independently prepares responses to routine correspondence.
- Develops documents for presentations or meetings.
- Performs other duties as assigned by supervisors

Minimum Qualifications:
To qualify you must have a Associates' Degree is required. Minimum of 1 Year of related experience in an office setting or the equivalent combination of education and experience. Effective Oral, written communication and interpersonal skills. Computer Skills -Working knowledge in the use of Microsoft Office Word, Excel, Power point and Access. Ability to develop basic formulae for spreadsheets; set up routine computer procedures; Ability to access e-mail, electronic calendars, and other basic office support software. Ability to proofread documents and write clear, concise 1st draft. Ability to type at a speed of at least 45 net words per minutes.Knowledge of standard office practices. Ability to multi-task while paying attention to details. Ability to use standard office equipment such as copy machines, multi-line telephones, fax machines.
Preferred Qualifications:
Bachelor degree in a related field with 1 to 3 years of related experience in an office setting is preferred.
Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $41,977.18 - $50,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
