Job Summary

The Administrative Specialist performs administrative duties for the Counseling Department, including office coordination, scheduling appointments, front desk receptionist duties, preparing/maintaining office records/reports, office support, and correspondence. This position is critical to the Counseling Department, which serves multiple functions, including instructional courses, student services, and numerous student success initiatives. The Administrative Specialist position is instrumental in collaboratively working with the residential and adjunct faculty, assisting with budget, purchasing, and expense processing. Oversees the Counseling front desk, which services faculty, staff, administrators, current students, prospective students, students in distress, and members of the community.

Essential Functions

30% - Performs a wide range of technical and clerical duties including answering phones and coordinating the daily operations that support the Counseling Department; makes independent decisions within established guidelines; provides customer service for a diverse college community; may provide training, monitor or coordinate the activities of student assistants and volunteers; actively monitors the Counseling Center to ensure a suitable environment, reporting issues to facilities, college safety, IT and copy services as needed.

30% - Prepares and maintains routine and non-routine correspondence, reports, documents, records and files according to work specific work direction, established standards and procedures; runs reports and compiles statistics; updates and maintains schedules, calendars and related meeting materials; assists with student registration; retrieves information and enters/updates information in reports, logs or other documentation/record-keeping systems(s); supports Counseling Faculty with student retention efforts via tools, such as Dropout Detective and Symplicity Care Referrals; knowledge of college resources to connect students with services, as needed.

20% - Monitors supplies inventory, orders supplies, and/or processes and monitors supply requisitions; contacts vendors for purchase and delivery information; prepares and monitors purchase requisition and related expenses; reviews and reconciles invoices; monitors and tracks expenses and may assist with the development of budget related materials and proposals; adheres to applicable policies and procedures; reviews and verifies the accuracy and consistency of information, data, records, invoices and other assignment related transactions in accordance with established procedures and guidelines.

10% - Assists in supporting our civic, social and cultural events, displays and social media postings; schedules and assists with events, programs, meetings, and workshops; ability to assist with creating promotional physical and digital content and materials.

Minimum Qualifications

Associate's Degree from a regionally accredited institution and one year of clerical, administrative office support or related experience.
OR
An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

A. Two (2) or more years of full-time experience working in a clerical or administrative office support position using routine office technology/software applications such as Microsoft Office and Google suite
B. Two (2) or more years of full-time experience working in a counseling/behavioral health environment at a college or university
C. Experience providing excellent customer service in multiple ways including in-person, email, and over the phone to a variety of individuals (i.e., low income, age, gender, first-generation college students, etc.)
D. Experience with supporting workshops, meetings, and/or event programming
E. Experience establishing and maintaining cooperative working relationships with multiple departments within an organization

Special Working Conditions
  • May require prolonged periods of viewing a computer screen
  • May occasionally require lifting up to 20 lbs.
  • This position is 100% in-office (no remote work)
