Position Summary

The Payroll Administrator is skilled in managing payroll processes for employees across multiple states with multiple unions and entities. The ideal candidate will have strong analytical skills with the ability to streamline processes to ensure accuracy, ensure tax compliance, follow multi-state payroll regulations, while managing the day-to-day communications with our internal customers. The Payroll Administrator works closely with HR and finance teams to ensure accurate and timely payroll reporting on a bi-weekly basis utilizing the Dayforce HCM platform.

Essential Duties and Responsibilities

  • Payroll Processing: Verifying employee timesheets and communicating with employees, managers, and leadership about deadlines; calculating wages, deductions, and taxes; issuing direct deposit payments to employees.
  • Employee Support: Address payroll-related inquires and resolve discrepancies in a timely manner; manage the payroll inbox appropriately, escalating issues as needed.
  • Compliance and Record-Keeping: Work with the HR team to ensure payroll complies with federal, state, and local regulations; maintain accurate payroll records, including tax filing and employee benefits.
  • Reporting and Audits: Prepare payroll reports and audits for management and financial review; assist with internal and external payroll audits on an ongoing basis.
  • Year End Processes: Assist with year-end processes, including W-2's, entitlement calculations, audit reporting, and other necessary requirements to ensure a smooth transition into the new year.
  • Training: Collaborate with members of the HR team to create documentation and employee training for changes related to timekeeping, navigation, updates, and overall payroll related changes.
  • System Management: Review system updates on a regular basis to ensure all functionality is working as designed; partner with HCM administrator to implement changes and ensure UAT is completed prior to roll-out of upgrades.


Position Requirements

Education and Experience



  • Fundamentals of Payroll (FPC) or Certified Payroll Professional (CPP) Certificate Required
  • Bachelor's degree in human resources, finance, accounting or a related field (preferred).
  • Minimum of 4 years of experience in payroll administration with a focus on multi-state payroll processing.


  • Experience with payroll processing systems (like Dayforce, Workday, ADP, or UKG). -Dayforce Preferred



Required Skills, Knowledge and Abilities



  • Current familiarity with Payroll processing HCM/HRIS systems (like Dayforce, Workday, ADP, or UKG)
  • Proven Capability to multi-task and prioritize in a fast-paced environment


  • Strong understanding and ability to apply tax regulations and labor laws to payroll processes.


  • Problem-solving capabilities to resolve payroll discrepancies and employee concerns following legal regulations and company policies.
  • Attention to detail in ensuring accuracy in payroll calculations and interpreting data to identify trends between payrolls to look for discrepancies.
  • Collaboration with HR and other departments to ensure seamless operations.
  • Strict confidentiality of handling sensitive information with discretion.

Licenses & Certifications



  • Certification in payroll administration (e.g., CPP or FPC) is required.


Travel Requirements



  • Willingness to travel up to 5%
