Join Carilion Clinic's Legal Department as a Legal Assistant supporting a wide variety of legal and administrative functions. This position offers the opportunity to work closely with attorneys and internal teams across the organization. The Legal Assistant plays a key role in coordinating legal service requests, preparing legal documents, maintaining files and records, and supporting daily departmental operations.

We are looking for someone who is detail-oriented, professional, and adaptable in a fast-paced healthcare legal environment.

Key Responsibilities

  • Coordinate intake and tracking of legal requests, including subpoenas, authorizations, and internal service needs

  • Draft legal correspondence and assist in the preparation of legal documents such as guardianship filings, contracts, real estate records, and student agreements

  • Provide general administrative support: manage calendars, coordinate travel, prepare meeting materials, and monitor departmental communications

  • Maintain legal files and corporate documents in both hard copy and digital formats using matter management and contract lifecycle systems

  • Respond to internal and external information requests, including audits and agency inquiries

  • Support corporate entity maintenance by filing and tracking documents such as Assumed Name Certificates and assisting departments with related questions

  • Contribute to day-to-day department operations, including visitor reception, supplies, invoicing, and file organization

What We Require:

Education: Bachelor's or Associate's degree in related discipline, paralegal certificate, or equivalent experience desired.

Experience: Minimum of two years experience as a legal secretary, or equivalent experience..

Licensure, certification, and/or registration: Notary Public, but can be handled after hiring.

Other MinimumQualifications: Excellent verbal and written communication skills with internal and external personnel, including physicians, company and community leaders, staff, patients, and media personnel. Must be well-organized and detail-oriented. Must demonstrate discretion, tact, diplomacy, confidentiality, and good judgment in dealing with routine inquiries, requests, and in handling difficult or unusual situations. Work requires knowledge and use of general office equipment and PC equipment and software.
