Position Overview:

Responsible for providing high-level administrative and project coordination support to the Chief Technology Officer and other Technology & Operations Vice Presidents. This includes managing complex scheduling, travel, and logistics, while also supporting the planning and execution of department-wide initiatives, tracking project deliverables, and facilitating communication and collaboration across teams. This role is ideal for a detail-oriented, tech-savvy individual with strong organizational and relationship management skills who can balance tactical and strategic support.

Please note, this position will be temp to hire.

Key Responsibilities Include, but are not limited to:

Administrative Support

  • Provide exceptional and timely administrative support using independent judgment within established guidelines.

  • Manage daily calendar activities for the CTO, including scheduling appointments, anticipating needs, resolving conflicts, and preparing materials in advance.

  • Arrange travel logistics, track and submit expense reports, and coordinate meeting logistics, including catering, agenda development, and presentation preparation.

  • Create, edit, and format PowerPoint presentations for the CTO for use in internal leadership meetings, board updates, and external speaking engagements.

  • Draft and edit professional correspondence, reports, and documents, maintaining high-quality and confidentiality.

Project and Operations Support

  • Track and coordinate departmental initiatives and cross-functional projects on behalf of the CTO, ensuring deadlines, deliverables, and key communications are met.

  • Support operational planning activities including preparing status updates, dashboards, and departmental progress reports.

  • Facilitate project team communications by maintaining shared documentation, organizing project meetings, capturing action items, and tracking next steps.

  • Assist in preparing for key internal and external meetings such as executive updates, board meetings, and strategic planning sessions.

  • Coordinate with internal teams and external vendors on deliverables, timelines, and documentation related to technology initiatives.

  • Assist in maintaining technology-related policies, procedures, and operational documentation.

Cross-Functional Collaboration and Team Support

  • Serve as a liaison between the CTO's office and internal departments to ensure aligned execution of key priorities.

  • Support internal communications and engagement efforts across the Technology & Operations teams.

  • Provide occasional backup support to other executive assistants and contribute to the continuous improvement of administrative processes across PBS.

Requirements for Success:

  • Bachelor's degree required.

  • 4-6 years of experience in administrative roles, with at least 2 years supporting executive leadership.

  • Experience coordinating projects or supporting project management functions preferred.

  • Strong written and oral communication skills.

  • Highly proficient in Microsoft Office Suite (Teams, Word, Excel, PowerPoint) and familiarity with project management tools (e.g., Asana, Smartsheet, or Trello).

  • Exceptional attention to detail, time management, and organizational skills.

  • Ability to manage competing priorities and work independently in a fast-paced, evolving environment.

  • Demonstrated ability to handle confidential information with discretion and professionalism.

  • Interest in public media, technology, or nonprofit environments is a plus.
