Job Summary

This position is responsible for providing support to the Human Resources Benefits Department by performing a variety of tasks. Assist employees with benefit enrollments by answering questions, processing enrollments in the HRIS system and maintaining employee electronic files. Along with other administrative tasks and benefits coordination.

You must exercise a high degree of judgment and independent decision making when providing information, support, and best practices via telephone, e-mail or training face-to-face. You must be able to react to change quickly and with a healthy attitude. Due to the nature of the position, it requires a high level of discretion and the ability to keep information confidential.

Along with the key functions listed below, this position will be expected to uphold the value that WaFd Bank places on simply being kind when servicing our co-workers and clients.

KEY FUNCTIONS:

    Assists in coordination of the administration and communication of various employee benefit programs such as medical, dental, FSA, HSA and group life.
  1. Communicates benefit plan rules and policies to employees.
  2. Assist with new enrollment processing and response.
  3. Prepare and post weekly phone directory.
  4. Assist with HRBenefits email box using set standards.
  5. Prepare and maintain employee benefit files, assuring accuracy, compliance and confidentially.
  6. Responsible for OnBase Filing and ensure accuracy of benefit enrollments, changes, terms and other documents filed in the database.
  7. Working with Benefit Specialist, send out new hire enrollment forms.
  8. Process Front-End COBRA notices for new enrollments.
  9. Process Group Life Volume Adjustments in ADP.
  10. Assist the Benefits team with updates in ADP, SharePoint and Confluence.
  11. Assist with annual open enrollment, checking documents, message center, follow up.
  12. Ensure compliance with applicable policies, procedures, and regulations relating to benefit programs.
  13. Cross train and back up in the following areas:
    • ACA COBRA enrollments in self-funded plan and tracking in ADP.
    • ADP message center and EOI.
    • Marketplace Notice Day 1 for new hires - tracking
    • New Enrollment Audit
    • Assist with processing enrollment, changes and terminations.
  14. Adhere to bank policies and procedures designed to comply with Federal regulations, including but not limited to the Bank Secrecy Act, USA Patriot Act, and OFAC regulations. other recordkeeping requirements.
  15. Avoid all real or perceived conflicts of interest and always maintain client privacy and confidentiality.
  16. Perform other work-related duties as required and assigned.


Qualifications

Education/Skills/Training:

  • High school diploma or approved equivalent
  • Proficiency with Microsoft Excel and Word
  • Keyboarding skills (45-55 WPM)
  • Excellent Customer Service skills
  • Regular and punctual attendance
  • Ability to prioritize work
  • Strong organizational and time management skills
  • Must be teachable

Experience:

  • 1-2 years' experience in Benefits Administration is preferred.
  • Above average knowledge of excel and word.
